Role Overview
This role supports the internal management of client fee structures and rate-related processes within a professional services environment. The position works closely with billing operations leadership and cross-functional finance partners to ensure client rate arrangements are documented, maintained, and applied accurately. The ideal candidate is detail-oriented, adaptable, and comfortable working across multiple teams in a deadline-driven setting.
Core Responsibilities- Assist with identifying and organizing client arrangements that fall outside standard pricing structures, ensuring key terms and timelines are properly recorded and monitored.
- Maintain accurate client and matter records related to negotiated fee terms, including start dates, end dates, and special conditions.
- Provide support during scheduled and ongoing pricing reviews, helping coordinate updates and adjustments throughout the year.
- Process approved rate updates for timekeepers and assist with recalculating work that has not yet been billed.
- Communicate approved changes to attorneys, administrative staff, and internal finance teams as needed.
- Contribute to conversations around workflow efficiency and process improvement in partnership with pricing and financial planning teams.
- Respond to internal questions related to rates and pricing with professionalism and attention to detail.
- Prepare customized reports and data pulls related to pricing and rate activity.
- Serve as backup support for related finance or matter maintenance functions when needed.
- Participate in special projects and ad hoc assignments as required.
- Ability to juggle multiple priorities and remain effective in a fast-moving environment.
- Flexible and adaptable approach to changing deadlines and business needs.
- Strong communication skills with a professional, service-oriented mindset.
- Comfortable working with attorneys, finance professionals, and administrative teams.
- Analytical curiosity with the ability to identify inconsistencies or issues and elevate issues appropriately.
- Strong organizational habits and attention to detail.
- Sound judgment, problem-solving ability, and critical thinking skills.
- Working knowledge of Microsoft Office, with solid Excel capability; experience with legal or professional services billing systems is helpful but not required.
- 2–4 years of relevant professional experience.
- Bachelor’s degree preferred in business, finance, accounting, or a related discipline.
- Equivalent experience through internships, coursework, or prior roles in finance, billing, operations, or business services may be considered in lieu of a degree.
