As we continue to grow, we are seeking a skilled Office Administrative Assistant to join our team and support our mission.
We are seeking a highly organized and motivated individual to join our team as Medical Administrative Assistant for our busy gastroenterology office. The Medical Administrative Assistant supports the daily operations of the gastroenterology practice by performing a combination of front office administrative duties and limited back office clinical support. This role is primarily responsible for administrative and clerical functions such as scheduling, insurance verification, referrals, and patient record management.
In addition, the position includes limited clinical duties, including rooming patients and taking vital signs. Candidates must have prior medical office experience and be fully bilingual in English and Spanish to support our diverse patient population.
- Greet patients and visitors in a courteous and professional manner.
- Schedule appointments, procedures, and follow-up visits in accordance with physician protocols.
- Verify insurance coverage and eligibility prior to appointments.
- Obtain prior authorizations and process referrals as required by insurance carriers.
- Maintain accurate and up-to-date patient records in the electronic health record (EHR) system.
- Collect and post copayments, assist with billing inquiries, and update patient financial records.
- Answer multi-line phone system, relay messages, and respond to patient questions or route to the appropriate party.
- Assist with medical forms, requests for records, and documentation.
- Escort patients to exam rooms and record vital signs including height, weight, blood pressure, pulse, and temperature.
- Document the chief complaint and basic intake information in the EMR system.
- Clean and restock exam rooms as needed.
- Support other front and back office operations as directed by the Office Administrator or clinical team.
- Collaborate with clinical and administrative staff to ensure seamless patient flow and efficient operations.

Qualifications- High school diploma or equivalent required.
- 2+ year of experience in a medical office setting required.
- Must be fully bilingual in English and Spanish (verbal and written communication).
- Experience with EMR systems and medical scheduling software preferred.
- Understanding of basic medical terminology and HIPAAHIPAA, OSHA, and Medicare compliance.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, with a customer service‑oriented approach.
- Proficiency in Microsoft Office software applications.
- Knowledge of medical billing and coding procedures preferred.
- Ability to work independently and collaboratively in a fast‑paced environment.
- Attention to detail and a commitment to maintaining high standards of professionalism and patient care.
- Flexibility to adapt to changing priorities and responsibilities as needed.
