Position: ADMIN MAINTENANCE

We’re not looking for someone who only handles paperwork.

We’re looking for someone who can keep operations organized, support our technical team, and ensure every maintenance project is properly documented and followed up.

At Maxwell Infinity Services, you’ll play an important role in supporting elevator maintenance and sparepart services across Indonesia — helping customers, technicians, vendors, and management stay connected through accurate administration and coordination.

YOUR ROLE IN OUR TEAM:
  • Manage and maintain customer databases for maintenance service activities
  • Prepare and process Service Maintenance Contracts
  • Create quotations for spare parts and maintenance-related services
  • Prepare invoices and monitor billing documentation
  • Distribute invoices and related documents to customers
  • Coordinate with technicians regarding maintenance schedules, sparepart requirements, and service reports
  • Handle Work Orders (WO) and coordinate with vendors when required
  • Organize and maintain filing systems for maintenance reports, checklists, contracts, and project documents
  • Manage petty cash transactions and reimbursement requests
  • Calculate technician overtime and prepare supporting documentation
  • Prepare Budget Plans (RAB) and payment requests for suppliers and vendors
  • Follow up outstanding payments and assist in collection activities
  • Handle business correspondence and administrative documentation
WHAT YOU NEED TO BRING:
  • Minimum D3/S1 education in Administration, Management, Accounting, or related fields
  • Experience in Administration, Maintenance Administration, Service Administration, or similar positions is preferred
  • Strong organizational and administrative skills
  • Detail-oriented, responsible, and able to manage multiple tasks simultaneously
  • Good communication and coordination skills
  • Comfortable working with documents, reports, invoices, and contracts
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Able to communicate in English, both written and verbal
  • Able to work independently as well as part of a team
  • Fast learner with a proactive attitude
