Role Description

The Executive Assistant is a full-time, on-site role based in Jakarta, Indonesia, providing comprehensive administrative and organizational support to senior leadership. Responsibilities include managing calendars, scheduling meetings, coordinating travel arrangements, and preparing expense reports and other executive documentation. The role involves handling correspondence, organizing files, maintaining records, and ensuring timely follow-up on action items and priorities. The Executive Assistant will also help prepare presentations, meeting materials, and reports, while serving as a key communication point between leadership, internal teams, and external partners.

This position requires proactive problem‑solving, attention to detail, and the ability to manage multiple tasks in a fast‑paced, creative environment.

Qualifications
  • Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and document preparation.
  • Proficiency in Administrative Assistance tasks, such as record keeping, office organization, and task prioritization.
  • Experience managing Expense Reports and basic financial documentation with accuracy and confidentiality.
  • Excellent Communication skills, both written and verbal, with the ability to interact professionally with stakeholders at all levels.
  • High level of integrity, discretion, and professionalism when handling sensitive information.
  • Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Comfort using productivity and collaboration tools (e.g., MS Office, Google Workspace, project management platforms).
  • Previous experience supporting executives in media, entertainment, or creative industries is an advantage.
  • Relevant diploma or degree in Business Administration, Communications, or a related field is preferred.
