Specialty Administrator Assistant - Ophthalmology

An exciting opportunity has arisen for a Specialty Administrator Assistant to join our friendly and supportive Orthoptic team within the Ophthalmology Department at Musgrove Park Hospital. You will be part of a collaborative team committed to delivering excellent patient care to our patients and supporting our clinical colleagues. This post is for 15 hours per week, ideally spread across three or four days, however we are open to considering alternative days or hours.

As an Administrator, you will play an integral role in supporting our secretarial team and ensuring the smooth running of administrative processes.

  • Working with Excel spreadsheets and other hospital systems
  • Communicating with patients, colleagues and external contacts
  • Managing incoming and outgoing correspondence
  • Providing general administrative support to the team

Main duties of the job
  • Communicate with colleagues, internal and external contacts in a courteous, professional and timely manner at all times by various methods, i.e. telephone, written, face to face
  • Provide non-clinical advice to patients, carers and relatives about appointments, clinics and wait listings where there maybe barriers to understanding e.g
  • Receive telephone calls and enquiries, taking appropriate action, or, where necessary, re‑direct or accept a message on behalf of members of the specialty team
  • Working within set work patterns of specialty, prioritise own work efficiently and effectively to ensure all administrative duties are met, highlighting any issues to the Administrative Team Leader.

Person Specification Qualifications
  • Good standard of general education
Experience
  • Confident working knowledge of MIcrosoft Word and Excel
  • Minimum one year admin experience in a workplace setting
  • Experience of working in a healthcare setting/previous NHS experience
Additional Criteria
  • Able to prioritise workloads, good time management
  • Be able to work unsupervised as well as part of a team
  • Audio/touch typing
