We are seeking an experienced and organized Senior Team Secretary to provide comprehensive secretarial and administrative support to the Operational Manager and senior clinicians within the CAMHS Community and Urgent Care Teams based at Foundation House.
This is a key role supporting the smooth running of clinical services, providing leadership and day-to-day oversight to CAMHS administrators within the service, and ensuring high-quality administrative support across community and urgent care pathways. The post holder will play an important part in supporting clinicians to deliver safe and effective care to children, young people and their families.
Main duties of the job- Provide high level secretarial and administrative support to the Operational Manager and senior clinical staff.
- Supervise, support and guide Band 2 and Band 3 administrators within the Community and Urgent Care teams.
- Act as a senior point of contact for administrative queries, supporting workload management and ensuring adequate cover.
- Support clinical teams with a wide range of administrative tasks to ensure services operate efficiently.
- Promote effective communication across multidisciplinary teams and with external agencies.

The post holder will be responsible for delivering a comprehensive administrative service, including typing confidential correspondence, reports and clinical documentation, managing diaries, arranging meetings, taking minutes, and coordinating clinics and appointments.
You will manage and maintain electronic patient records, ensuring information is accurate, timely and handled in line with confidentiality requirements. The role involves regular contact with children, young people, carers and professionals, requiring sensitivity, tact and excellent communication skills, including managing occasional distressing or challenging conversations.
As a senior member of the administrative team, you will provide supervision and daily support to CAMHS administrators, contribute to their development, and assist managers with recruitment processes, ordering and basic financial responsibilities such as purchase orders and stationery management.
You will work closely with multi-disciplinary clinical teams and liaise with external partners including GP practices, schools, acute trusts and local authority services. The role requires strong organisational skills, the ability to prioritise a busy workload, and confidence using electronic systems within a fastpaced mental health environment.
Qualifications- Diploma level / NVQ 3 in Administration & Business Studies or equivalent experience; RSA Stage III Typewriting/Word Processing or equivalent;
European Computer Driving Licence or equivalent. - AMSPAR Diploma.
- Experience of working at a senior secretarial level.
- Experience of dealing with sensitive and distressing issues.
- Experience of dealing with multi-disciplinary teams and external agencies.
- Experience of using Microsoft Office packages e.g. Word, Excel and Outlook.
- Experience of setting up and maintaining office systems.
- Previous experience of working in a similar role.
- Previous experience of working in the NHS or Mental Health setting.
- Must have a driving license and be willing to travel as necessary to undertake role.
