Job Description

The primary responsibility of the Assistant Project Manager is to monitor incoming leads from conversion to active job status through completion of work and customer invoicing. Assistant Project Manager will work closely with the Project Manager to maintain an accurate work‑in‑progress board and audit daily documentation for all job files. The Assistant Project Manager will also review the scope, estimate, and job file documentation to ensure all program requirements are met and all work performed is accurately invoiced.

Responsibilities
  • Responsible for clear and efficient project communication with the customers and project stakeholders
  • Daily project(s) oversight to include monitoring status, audit, and work‑in‑progress
  • Review and validate job site documentation
  • Work closely with Project Managers to ensure thorough and accurate project documentation from beginning to end
  • Monitor job file status to ensure accuracy in all job file documentation daily.
  • Communicate daily with Production crews to ensure all required documentation is captured on site at point of task.
  • Create/review estimate based on scope and photos from Production crew.
  • Maintain an accurate Work in Progress board for all active leads/projects.
  • Monitor and ensure all client requirements are met.
  • Maintain internal and external communications with all stakeholders.
  • Review timestamps and other data points to reflect accurate reporting/KPMs.
  • Complete and review job file documentation for final upload and the audit process
  • Perform internal audit of all projects to ensure estimate captures all work performed.
  • Perform all job close‑out activities, including coordination with accounting team to ensure proper invoices are created.
  • Collaborate and assist with other departments, as needed
Qualifications
  • High school diploma/GED (preferred)
  • At least 1 year of customer service and/or office‑related experience
  • 2 year Restoration background is preferred
  • Ability to multitask and to remain detail orientated
  • Must be knowledgeable in relevant computer applications
  • IICRC certifications are a plus

Work Environment Requirements
  • This is a sedentary role in a fast‑paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary. Ability to successfully complete a background check subject to applicable law
