Position: Office Specialist - Return  Salt Lake

The Department of Workforce Services (DWS) is seeking a motivated and highly skilled Office Specialist I to join our Utah State Office of Rehabilitation (USOR) team in the Vocational Rehab office in Salt Lake City, UT.

The Return Utah program is a formal career reentry program, designated for Utahns desiring to re-enter the workforce after a career break. Along with a state job and traditional on-the-job training, Return Utah roles provide 16‑weeks of transitional support (similar to an internship) which includes an office technology review, coaching, career development, mentorship, networking opportunities and job market readiness training.

To be eligible for this return‑to‑work opportunity candidates:

  • Must have a career break of one year or more at the time of application (unless the candidate is affiliated with the military in any way including as a military spouse/partner).
  • Demonstrate underemployed at the time of application.
  • Have prior professional/life experience in a functional area of interest.
  • This is a long term position, meaning employment continues after transitional support provided during the first 16 weeks of employment, after the completion of the Return Utah program.

    Principal Duties
    • Prepare and issue purchase authorizations and submit invoices for payment.
    • Perform basic accounting tasks including tracking and accuracy checks of accounts payable/receivable.
    • Assist applicants and clients with disabilities in accessing vocational rehabilitation services.
    • Provide exceptional customer service to clients, vendors and community partners.
    • Greet and check‑in clients and visitors as they arrive.
    • Answer and direct incoming phone calls and emails.
    • Provide basic information about USOR and the application process.
    • Contact vendors for client service purchases on a regular basis.
    • Use Google Calendar to track, schedule and coordinate meetings, appointments or other office activities.
    • Complete daily out‑bound reminder calls to clients.
    • Fax, mail, copy, email, and scan/attach documents into the case management system.
    • Understand and keep up to date on current fiscal policy and procedure.
    • Assist counseling staff with administrative tasks as assigned.
    • Process agency documents including reviewing for accuracy and completeness.
    • Provide the public and others with information and assistance in completing agency forms and applications.
    • Participate in office trainings and meetings.
    • Maintain supply inventory and assist in purchasing supplies.
    Minimum Requirements
    • Has at least one year of work‑related experience doing office support/basic accounting functions.
    • Has experience working with diverse populations including people with disabilities.
    • Has excellent communication and customer service skills.
    • Has attention to detail when reviewing documents and entering data.
