The Coordinator, Reception & Registration serves as the primary point of contact for the Office of the Registrar and Academic Records. This role provides exceptional customer service to students, faculty, staff, and visitors while supporting a variety of administrative and clerical functions related to admissions, registration, and student records. The position also supervises and trains part-time staff to ensure seamless customer service delivery during the afternoon and evening shifts.
The ideal candidate will demonstrate expertise in student information systems, excellent interpersonal skills, and the ability to manage multiple priorities in a fast‑paced environment.
This position operates during the afternoon and evening shift, with working hours from 10:30 AM to 7:00 PM.
Supervision and Leadership- Train, supervise, and provide leadership for part-time staff to ensure consistent service quality.
- Monitor compliance with office policies and procedures and address staff performance concerns as needed.
- Foster a collaborative and supportive work environment that encourages professional growth and team cohesion.
- Schedule and delegate tasks effectively to ensure adequate coverage and operational efficiency.
- Serve as the first point of contact for in‑person, phone, and email inquiries for students, staff or faculty.
- Provide guidance on college policies, procedures, and resources, including course enrollment, graduation requirements, and student appeals.
- Assist students with registration, transcript requests, transfer evaluation, registration, admissions, student records, and related services.
- Process student records and transactions, including enrollment verifications, transcripts, guest student registrations and other registration‑related tasks.
- Maintain and update filing systems (electronic and paper), forms, inventory, mailing and databases.
- Research, resolve, and articulate complex student scenarios with professionalism and discretion.
- Research and review information on student database (i.e., Banner, Etrieve etc.).
- Perform opening and closing procedures, including securing office facilities.
- Maintain the general cleanliness and organization of the front desk area.
- Build collaborative relationships with other college departments and external organizations.
- Represent the Office of the Registrar on college committees and at state or regional events.
- Participate in ongoing professional development and mandatory training.
- Support special projects.
- Other duties as assigned.
- Standard ORAR policies and procedures; including FERPA and GRAMA.
- Standard college policies and procedures, and computerized information systems including Banner and Etreive.
- Proficiency in Microsoft Office 365, email, fax, phone, and scan.
- Active listening, reading comprehension, speaking, social perceptiveness, critical thinking, and time management.
- Identify, research, resolve, and articulate information.
- Compose memos, forms, and written correspondence.
- Organize, multitask, manage priorities and workflow efficiently and productively.

- Develop and maintain effective working relationships with coworkers, supervisors, students, general public, and other job contacts.

- Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College.
- Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.
Bachelor’s degree OR an Associate’s degree with at least 2 years of experience to meet the equivalent combination requirement.
Trade off 1:1 in experience/education requirement. Part time related work experience may be considered on a prorated basis.
- Prior experience in college student services or a similar environment.
