An exciting opportunity has arisen for a Fleet Sales Administrator to join the growing team at Greenhous in High Ercall.
This is an exciting time to join our Fleet division as we continue to grow and expand our operations. As part of this growth, we are strengthening our administrative support function and are looking for an organised, proactive and motivated individual to join the team.
This is a fast-paced and dynamic role, where you will provide essential administrative support across the fleet operation, helping to ensure vehicles, documentation, systems and processes are managed accurately and efficiently.
Working closely with colleagues across the business, drivers, customers and external partners, you will play an important role in keeping the fleet operation running smoothly. The successful candidate will be someone who takes pride in their work, has excellent attention to detail and is confident managing multiple priorities in a busy environment.
Other duties may be required of the post holder in addition to those listed above and below, to ensure that the requirements of the business are met at all times.
Salary: Dependent on experience
Hours: Monday to Friday 37.5 - 40 hours per week, 30 minutes lunch break (unpaid). Some flexibility around start and finish times.
Key Responsibilities:Providing comprehensive administrative support to the Fleet team, ensuring records, documentation and systems are maintained accurately and up to date.
Supporting the creation and maintenance of vehicle stock book records, ensuring information is accurate and readily available.
Working closely with the Fleet team to support daily invoicing, vehicle taxing, administration and general housekeeping activities.
Processing vehicle invoices accurately and efficiently, updating internal systems and completing associated administrative tasks.
Monitoring, saving and chasing Proof of Delivery (POD) documentation across company sites, ensuring records are complete and easily accessible.
Assisting with the coordination and administration of vehicle movements and related fleet activities.
Liaising with internal departments, drivers, suppliers and external partners to resolve queries and ensure information is communicated effectively.
Responding promptly & professionally to internal & external queries, providing a high level of customer service at all times.
Maintaining accurate electronic and paper-based records in line with company processes and requirements.
Identifying outstanding actions and proactively following these through to completion.
Supporting the wider Fleet team with additional administrative duties & projects as the division continues to grow.
Working collaboratively with colleagues across the business to ensure the smooth and efficient running of the Fleet operation.
Previous experience in an administrative, coordination or support role. Experience with in fleet, transport, logistics or the automotive sector would be advantageous.
Highly organised with excellent attention to detail and a strong focus on accuracy.
Ability to work effectively in a fast-paced, changing environment, managing multiple tasks and competing priorities.
Strong communication and interpersonal skills, with confidence to liaise with colleagues, customers, drivers and external partners.
A proactive approach, with the ability to identify what needs to be done and take ownership of tasks through to completion.
Confident using Microsoft Office, particularly Outlook and Excel, with the ability to learn and navigate internal systems quickly.
Good problem solving skills and the ability to investigate and resolve administrative queries efficiently.
