Job Summary

The Scheduling Specialist, under general supervision and in accordance with established procedures, schedules outpatient diagnostic procedures including radiology and imaging, validates outpatient orders, and captures patient demographic and insurance information.

Essential Functions of the Role
  • Contact patients or providers for outpatient diagnostic procedures.
  • Contact patients to schedule outpatient diagnostic procedures.
  • Collect patient demographic and insurance information during scheduling phone calls with patients or providers.
  • Validate that insurance is in network with the provider.
  • Compile patient information such as diagnosis, reason for procedure, medications, allergies, and other applicable information prior to scheduled procedure.
  • Monitor inbound orders to ensure they are validated and routed appropriately, ensuring patients are contacted in a timely manner to schedule procedures.
  • Contact affected departments to ensure patients are prepared and necessary personnel and equipment are available.
  • Meet telephone system metrics and other productivity standards set by the department, including length of call, answer time, and number of calls taken within a specific period.

  • Demonstrate good listening, interpersonal, and communication skills, and professional, pleasant, and respectful telephone etiquette.
  • Maintain a professional demeanor in a highly stressful and emotional environment, including behavioral health and suffering patients in life/death situations.
  • Exhibit a high level of empathy and effectively communicate with patients and family members during traumatic events, while demonstrating exceptional customer service skills.
  • Manage multiple, changing priorities effectively and in an organized manner.
  • Provide excellent data entry, numeric, typing, and computer navigational skills.
  • Basic computer skills and proficiency with Microsoft Office.
