The Facility and Services Analyst is responsible for a wide range of services that include reception, internal and external customer support, mail/shipping, and general administrative support. This role prepares and maintains conference rooms for executive meetings, uses an online tool to reserve meeting space, manages internal distribution lists, assists clients with guest badges and Wi‑Fi access, and assists others as needed.
The majority of daily tasks will be completed independently according to office guidelines and/or under general supervision. This role will also provide customer support with individualized attention, accurate information, efficient service, and timely follow‑up. They should be a proactive and energetic member of our Office Services team by providing support to critical office functions as well as attentive and detailed customer support.
- Fosters an engaging in‑office experience for our clients and our employees by supporting various functions within the office, having a positive and helpful mindset, proactively offering people assistance with new office tools, assisting with office bookings, resetting work spaces, and supporting/planning engaging in‑office events for our employees.
- May also be asked to volunteer for and support more broad work activities including those that are held at a location/office level including office events, client events and marketing and communications functions.
- Supports life safety efforts, including badge access, audit reports, and general CCure administration.
- Auditing responsibilities for Life Safety, supporting finance functions, providing security, reservations, and catering support to our customers, cross‑support to our local technology team, and providing support to high‑profile in‑office events as needed.
- Plans and manages operations and delivery of services, ensuring operational compliance to policies, budgets and guidelines and reviewing performance against business objectives.
- Identifies new ways to add value & proactively takes on new tasks to help the team to be more productive.
- Independently completes a wide range of Workplace Solutions customer services activities such as workspace set‑up, A/V support, catering set‑up and breakdown, welcome desk coverage, floor operations support, space utilization management or other location services.
- Understands Accenture's collaboration/technology tools and supports customer utilization of these tools.
- Supports the planning for and execution of all on‑site meetings and events.
- Makes process improvement suggestions and implements changes as possible to ensure continued seamless office experience for customers, Accenture clients and meeting attendees alike.
- Receives, reviews and allocates Workplace Solutions invoices for the location and/or supplier, including resolving billing issues with vendor and escalating issues as needed, and may serve as point of contact for managing the Workplace Solutions invoices for the office.
- Manages vendor relationships ensuring current NDA’s are on file.
- Prepares, pulls & analyzes data reports including those around in‑office bookings and activities.
- Can lift/move up to 40 lbs.
- Minimum of 1 year of meeting planning experience in a hospitality or professional setting.
- Minimum of 1 year of experience planning and executing high‑end internal and/or external client/customer‑facing events.
- Minimum of 1 year of experience in a customer service role.
- Extensive knowledge of food & beverage industry trends, and dietary restrictions.
- Experience with a network of catering vendors.
- Passionate about customer service.
- Willing to step outside role to complete tasks in other areas of the Workplace.
- Critical thinking and problem‑solving skills.
- Ability to take ownership and make decisions independent of client involvement (proactive).
- Proven ability to work independently and as a team member.
