Your roleThe Team Administrator helps manage day-to-day team operations and ensures service excellence for teammates and clients. This entry-level role coordinates people, processes, technology, marketing, and events so advisors can focus on advice and client outcomes. You will prioritize service requests, guide preparation for client meetings, oversee onboarding workflows, support business planning, and help train the team on tools, resources, and processes.
Responsibilities- Prioritize and route service requests; review daily alerts and reports; ensure timely completion and clear status updates.
- Own meeting logistics: schedule, confirm, and prepare materials; coordinate team pre-briefs; capture follow-ups in Running Notes and CRM tasks.
- Oversee onboarding for new relationships, ensuring documentation, checklists, and compliance steps are complete.
- Support execution of the team’s service matrix by keeping appointment lifecycle checklists and tier/service workflows current.
- Serve as the primary liaison to firm platforms (Operations, Compliance, Marketing) and cascade relevant updates to the team.
- Coordinate mandated training/completions (e.g., IAR/FINRA items) and track team-wide status.
- Escalate systemic issues and maintain an “efficiencies” log for leadership review.
- Plan and execute client and COI events: manage invite lists, RSVPs, run-of-show, and post-event follow-up.
- Coordinate marketing assets (team website updates, bios, photos; pitchbooks; meeting collateral) with UBS marketing.
- Operate approved list and personalization workflows for compliant email outreach (CRM/STAAT).
- Steward the Master PIP (Process in Progress) and ensure all are current; follow up with owners to keep statuses green and processes moving forward.
- Lead template governance & Teams/CoPilot migration tasks (template review tracker; folder hygiene; password file consolidation).
- Own the Marketing Meeting Agenda and compile decisions/next steps for future actions.
- Assist advisors with business planning (Business Development pipeline updates, COI lists) and track quarterly action items.
- Maintain Travel & Expenses for team advisors. Book Travel and enter expenses.
- Prepare/update marketing materials, team website, Linked In postings, etc.

Your expertise- Bachelor’s degree
- Helpful, but not required: series 7 and 66
- Demonstrated proficiency in Microsoft products (360, Copilot, Outlook, Word, PowerPoint, Excel, Teams, & Sharepoint)
