The Event Crew Recruiting Coordinator

Support the recruiting, retention & coordination efforts across Solotech’s Live Production division. They will support event crew recruitment and retention efforts by fostering strong relationships with crew, resolving logistical issues promptly, and ensuring a positive and professional experience from assignment through event completion. The Event Crew Recruiting Coordinator will be responsible for managing multiple events entirely from start to stop, including recruitment, rate confirmation, onboarding, contracting, scheduling and travel arrangements.

They will refer to the event Sales Representative before any change in crew pay rates that may differ from the event budget and will work with the assigned Project Manager across event activities as relates to crew scheduling. (PM is responsible for the event staff assigned to the project and the technical execution of the event across sound, lighting, video or rigging.)

Your

day will look like this:
  • Support proactive recruitment and retention of event crew alongside the LP Relationship Manager.
  • Post job openings on the appropriate job site and review resumes to determine the best fit for the event need.
  • Offer ways to improve the recruitment process of crew and implement any changes as necessary.
  • Book US sourced crew as well as the UK and Canada crew in cooperation with the collective labor resources team.
  • Support and follow through with the booking of crew as defined by management (strategy team) for the assigned event.
  • Assist in booking all travel for the crew as needed.
  • Provide all crew details to production as required (i.e. travel details, passport info, etc.).
  • Provide all crew details as pertains to certificates of coverage.
  • Maintain accurate records of crew performance flags, preferences, and compatibility to support long-term team development.
  • Responsible for the successful onboarding of crew in the necessary systems as required (Lasso, Vensure PEO, D365), including the collection of COIs and preparation of contract documents.
  • Build and maintain event schedules in Lasso.
  • Maintain accurate crew status in Vensure PEO, onboarding and terminating per policy.
  • Responsible for coding and submission of all freelancer invoices for assigned events for payment from D365.
  • Develop and maintain client & crew relationships for assigned projects.
  • Respond to inquiries from the crew in a timely manner.
  • Any other duties as assigned.
Your profile:
  • Bachelor’s degree in business administration or a related field.
  • Minimum of two (2) years of experience of customer service.
  • Minimum of two (2) years of experience in a live event coordination role.
  • Minimum of one (1) year of experience in recruitment.
  • Knowledge of the entertainment/live events industry is preferred.
  • Knowledge of Office
    365 (Word, Excel, Outlook, MS Project, etc.).
  • Knowledge of the Lasso system (an asset).
  • Advanced planning, organization and coordination skills, including the ability to prioritize in the context of tight deadlines.
  • Strong interpersonal communication skills, with a people-first approach to crew interaction.
  • Ability to travel regularly to local events.
  • Flexible schedule with the availability to work nights and weekends.
  • Ability to solve complicated problems.
  • Thoroughness and attention to detail.
  • Demonstrate ability to work well with clients (internal and external).
  • Adapt to change easily.
  • Ability to work independently and within a team.
