BriefJob Description
Under the direction of the Switchboard Program Supervisor, the Receptionist I places, answers, and transfers local and long‑distance calls, maintains PBX records, updates on‑call schedules, and handles all unusual occurrences such as fire alarms, maintenance problems, and emergency calls. The role also includes making after‑5 pm and weekend money deposits, providing liaison service for language interpreters and consumers, issuing and signaling portable pagers, cellular pagers and telephones, and providing master key service.
EssentialJob Functions
- Attends work on a regular basis and may be required to work a specific shift schedule, rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
- Operates PBX equipment skillfully, answers phones promptly and courteously.
- Keeps records and performs clerical duties necessary to PBX functions.
- Updates all on‑call schedules with correct contact information.
- Handles all unusual occurrences, fire alarms, maintenance problems, and emergency calls.
- Makes after‑5 pm and weekend money deposits, using numbered envelopes and enters all information into the proper log.
- Provides liaison service for language interpreters and consumers.
- Issues and signals portable pagers and cellular telephones.
- Provides master key service.
- Provides other duties as assigned, including disaster response, recovery, or Continuity of Operations activation, which may require alternate shift pattern assignments or location changes.
- Knowledge of administrative, clerical, and data entry procedures and systems.
- Skill in the use of a telephone switchboard.
- Ability to transfer incoming calls to appropriate personnel; to greet and direct visitors; and to communicate effectively.
- Valid Texas driver’s license or ability to obtain within 90 days after hire if transporting patients; out‑of‑state licenseees must provide certified driving record.
- Minimum 3 years of verifiable working history in general clerical support or other patient/service‑oriented positions involving patients and/or families.
- Must pass fingerprint criminal background check, pre‑employment drug screen, and registry checks (CANRS, Nurse Aid, Medication Aide, Employee Misconduct, LEIE).
- Eligibility for immunization policy; influenza vaccine is required or mask/other measures may be required.
The candidate must be able to work any shift (0700‑1500, 1500‑2300, 2300‑0700) with little to no notice, including weekends and holidays, and be willing to work back‑to‑back shifts when required.
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. Vaccines may be provided by the facility.
