Performs a variety of routine and complex clerical and administrative work in keeping official records and providing administrative support for the Public Works and Development Services Department. This position also provides administrative support and public outreach and education to meet the requirements of the City’s storm water management program laid out in the program’s schedule to keep the city compliant with the TCEQ Phase II Storm Water Permit.

Reports to:

Director of Public Works. No supervision exercised.

Essential Duties And Responsibilities

Presence in the workplace on a regular basis is required to accomplish the essential functions. Regular attendance must be maintained.

Performs routine secretarial and administrative work: answering phones, receiving the public, providing customer assistance, maintaining extensive filing systems, procuring supplies and materials, receiving and processing mail, and time and bookkeeping.

Types and handles a variety of correspondence, documents, and specifications for Public Works and Development Services staff and from other divisions.

Acts as official timekeeper and creates purchase orders/requisitions for all Public Works and Development Services Departments.

Acts as custodian of departmental documents and records. Establishes and maintains an extensive filing system for a variety of subject matter.

Receives, reports, and maintains records for street light outages.

Logs work order requests into the Public Works work order system (MyGOV) and assists with following up on work order requests.

Maintains the Public Works portion of the city's web page including pictures and progress reports on construction projects.

Assists City Engineer with ensuring the city stays in compliance with City’s TCEQ Phase II Storm Water Permit. Duties may include developing educational materials, maintaining records, and preparing annual reports.

Performs additional duties as necessary to meet requirements with the City’s TCEQ Phase II Storm Water Permit.

Peripheral Duties

Performs all other duties as assigned.

  • High school diploma or GED equivalent.
Knowledge, Skills, And Abilities
  • Proficiency in Microsoft Office software.
  • Preparation of reports, charts, standard forms, extensive correspondence, and letters with accuracy.
  • Ability to develop and maintain an extensive filing system.
  • Effective communication skills, both verbal and written, with employees, developers, engineers, other governmental agencies, and the general public.

Phone, computer, copy and fax machines, calculator.

Physical Demands

Requires use of hands to handle objects, reach with hands and arms, occasionally lift up to twenty-five (25) pounds, walk, sit, talk, or hear, and exposure to seasonal temperatures.

Work Environment

Occasional work in outside weather conditions; exposure to wet and humid conditions; moderately quiet office, moderately loud field.
