Austin, TX is looking for a Volunteer and Events Coordinator to join our Strategic Partnerships team! The Volunteer & Events Coordinator is responsible for designing and implementing a comprehensive volunteer program while also planning and executing Life Works’ special events. Reporting to the Strategic Partnerships Operations Manager, this role deepens community and donor engagement with the Life Works mission by creating meaningful volunteer opportunities, coordinating impactful events, and ensuring an excellent supporter and guest experience.
The coordinator works across departments to align volunteer and event strategies with agency needs, cultivates strong relationships with donors and community partners, and contributes to Life Works’ long-term philanthropic goals. This position is accountable to meeting established targets for volunteer engagement and event success.
This full time, exempt position earns a competitive rate ranging from $60,363.95-$65,964.73 depending upon experience. Benefits are also included, which consist of 24 PTO days per year (accrued); 11 paid holidays per year; a premium-free employee medical plan with $100 per month HSA contribution (plus other affordable employee or family medical, dental, and vision options!); a retirement savings plan with 50% match on the first 6% of contributions, and much more!
RESPONSIBILITIESVolunteer Engagement
- Develops and implements a robust volunteer program, including recruitment, screening, training, support, recognition, and retention.
- Implements goals and measures impact of volunteer program in partnership with agency programs and departments.
- Partners with cross-departmental staff to identify high-impact volunteer opportunities that advance program and organizational needs.
- Trains relevant staff on effective volunteer engagement and management. Serves as the liaison between volunteers and staff to ensure effective communication, mutual understanding, and support.
- Coordinates and manages individual and group volunteer activities (e.g., Home Improvement Challenge, Trunk or Treat, community garden).
- Cultivates strong and positive relationships with volunteers through consistent communication, meaningful engagement, and recognition initiatives.
- Creates volunteer recruitment and engagement materials in partnership with the Marketing and Communications team.
- Aids in ensuring compliance with volunteer policies and procedures and alignment with industry best practices.
- Documents all volunteer activity in donor database as part of moves management process and generates reports as needed.
Event Management
- Serves as the primary project manager for signature fundraising and community events, including developing project timelines, tracking work streams, and ensuring timely completion of all tasks.
- Oversees front-of-house operations at events and volunteer coordination.
- Supports board leadership, committees, and staff in planning and executing events that advance fundraising and stewardship goals, create meaningful donor engagement opportunities, and reflect the Life Works mission.
- Coordinates with Marketing and Communication on event collateral, branding, photography/videography, and media requests.
- Manages vendor research, negotiations, and contracts.
- Provides direction, coordination, and recognition for event volunteers.
- Collaborates with the Philanthropy team to integrate events into cultivation and stewardship strategies.
- Documents event details, participant lists, and outcomes in the donor management system.
- Manages in-kind donations, including gift card donations, tracking, and disbursement to programs.
- Requires a Bachelor’s degree and 3 years of relevant experience in volunteer engagement and event planning; or equivalent combination of education and experience.
- Demonstrated success in planning and managing events and volunteer programs.
- Nonprofit experience is strongly preferred.
- Proficiency with donor databases/CRM systems and Microsoft Office Suite.
- Experience with vendor and budget management preferred.
