The Document Control Specialist shall be skilled in using technology to complete their tasks. They are primarily responsible for independently administering and managing the project document control system(s), including logging, transiting, and distributing all relevant documents into the system and distributing them to the appropriate project team members.

The Document Control Specialist is also responsible for coordinating/collaborating with project staff to help facilitate and expedite the project team's efficiencies. They should communicate/collaborate well with a large team to coordinate and complete multiple responsibilities on a deadline.

District Overview

TIC Power is a subsidiary of Kiewit Corporation that provides direct-hire construction services for Power Generation utilizing a non-union craft force. Strength in estimating and pre-project planning. Constructing cogeneration, combined-cycle, geothermal and waste-to-energy generation and resource facilities. TIC Power builds major EPC power plant and solar farm projects throughout North America.

Location

The position is based out of Seminole, TX.

Responsibilities
  • Responsible for maintaining the Project Document Control Program throughout the project's lifecycle.
  • Control the numbering, sorting, filing, storing, and retrieval of electronic and hard copy documents.
  • Oversee the proper approval, maintenance, and distribution of documents and retention policies.
  • Responsible for reproduction of documents, preparing reports and addendums.
  • Maintain records of incoming document transmittals and prepare outgoing transmittals.
  • Support the efforts to ensure that the system documents are maintained with accurate and current information.
  • Perform process audits to ensure accuracy of all controlled documentation.
  • Assist with requests for information from external customers, vendors, and internal customers (inter-company).
  • Participate as needed in corrective/preventive actions items and their investigations.
  • Guide a team to administer the document flow and distribution at the Project site.
  • Train projects on document control standards, workflow, and systems.
  • Ensure that the confidentiality of sensitive information is protected.
  • Perform other duties as assigned by project management.
  • Perform any task required to support company goals.
Qualifications
  • Basic knowledge of Electronic Document Management Systems (EDMS)
  • Knowledge of records/information management principles and methodologies is an asset
  • Proficient in Microsoft Office
  • Knowledge of SharePoint and InEight software is a plus
  • Willing to perform a variety of tasks and learn new skills
  • Detail-oriented, flexible, and highly motivated
  • Excellent interpersonal, written, and verbal communication skills
  • Ability to work effectively within a project team with minimal supervision
