Medical Office Specialist (Willis)

Join our dynamic healthcare team as a Medical Office Specialist where you'll serve as the welcoming face of our practice while ensuring smooth daily operations. In this vital role, you'll manage comprehensive front office functions including patient relations, appointment coordination, and administrative support that keeps our practice running efficiently.

Standard hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m., offering you a stable schedule with no weekend commitments.

What You'll Do
  • Create positive patient experiences through professional, compassionate communication with patients and healthcare providers
  • Skillfully manage our appointment system by scheduling, rescheduling, and confirming patient visits
  • Conduct proactive appointment reminders and pre-visit planning to ensure patients arrive prepared
  • Handle multi-line phone system with efficiency, routing calls appropriately and ensuring timely follow-up
  • Welcome and check-in patients with attention to detail, verifying and updating information in our Patient Management system
  • Perform thorough insurance verification and patient demographic confirmation, connecting patients with financial counseling resources when needed
  • Facilitate smooth check-out processes, including scheduling follow-up appointments
  • Manage document handling including copying and faxing with accuracy and confidentiality
  • Process patient payments professionally, including collecting co-pays and handling credit card authorizations
What You'll Bring
  • High School diploma or GED
  • At least 1 year of healthcare setting experience
  • Bilingual proficiency in English and Spanish to serve our diverse patient population
  • Strong organizational skills and attention to detail
  • Excellent customer service orientation and communication abilities
  • Ability to maintain patient confidentiality and work in a fast-paced environment
