Job Summary

Under the supervision of the Recreation Manager, the Special Events Supervisor develops, implements, and promotes a variety of special events and activities for the community and the region. This position is responsible for soliciting sponsor ships, managing volunteers, seeking partnerships, and developing marketing strategies to produce high quality events that fulfill the desires of the community and enhance tourism to the City.

The role also provides high quality customer service in all personal interactions with the public.

Responsibilities
  • Develop, implement and promote a variety of special events and activities for the community.
  • Solicit sponsor ships from businesses and corporations to offset event expenses.
  • Seek partnerships and maintain existing partner relationships to allow for the sharing of resources.
  • Interact and coordinate with other agencies and civic organizations for innovative and creative events and activities.
  • Prepare flyers, brochures, news releases, website updates, and other promotional materials as part of a comprehensive marketing strategy for events and activities.
  • Communicate effectively and courteously with customers, vendors, media and staff in person, in writing, via e‑mail or telephone.
  • Recruit, train, schedule, motivate, monitor and evaluate seasonal, contractual and volunteer staff.
  • Work flexible schedule: days, evenings, weekends or holidays as necessary and occasional overnight travel.
  • Prepare monthly reports including performance/activity measures and event recap reports.
  • Assist with budget preparation, monitoring of expenditures and preparation of payment authorizations.
  • Assist in monitoring activities at the Recreation Center, answer phones, check-out equipment, manage customer requests and assist patrons.
  • Maintain accurate forms and records of operations.
  • Prepare incident, accident and damage reports.
  • Work on events and projects funded by the hotel occupancy tax (HOT) that are directly related to enhancing and increasing tourism in The Colony.
  • Assists manager with other duties as assigned.
  • Ability to carry, push, pull, lift or hold up to 60 pounds of equipment or furniture.
  • May be required to work in extreme weather conditions for events and activities.
  • Sits for extended periods of time at desk using the computer.
Qualifications
  • Strong organizational skills and the ability to handle multiple tasks simultaneously.
  • General knowledge of planning and operating both small and large scale special events.
  • Ability to use effective verbal and written communication skills with staff and public, as well as show effective leadership.
  • Ability to use good judgment in handling complaints, altercations and emergency situations.
  • Skilled in written communications with a capacity for attention to detail.
  • Working knowledge of computer systems & software and copier.
  • Knowledge of federal, state and local laws and regulations as applies to departmental procedures.
  • Ability to be creative, a self-starter and work with minimum supervision.
  • Working knowledge of Smart Rec, Microsoft Word, Excel, PowerPoint, Corel

    DRAW, Canva, and/or other various software applications.
Education and Experience
  • Degree in recreation or related field, plus two years experience in developing, implementing and promoting special events and activities, or any combination of education and experience equivalent.
  • Valid Texas driver’s license.
  • CPR/1st Aid certification or ability to obtain certification within 30 days of employment.

Texas Municipal Retirement System

All full‑time employees are participants of TMRS; this is a mandatory contribution. Part‑time regular employees who work a minimum of 20 hours per week are participants of TMRS. The employee contribution rate is 7% per pay period; the City matches the contribution 2‑1. There is a 5‑year vesting period. Employees are eligible to retire at any age after 20 years of service or at age 60 with 5 years of service.
