DescriptionBe the backbone of Safety! Primoris Heavy Civil is looking for a Bilingual HSE Administrator to support the Woodlands Texas Office. Support our team, systems, and our commitment to a safer workplace.
Position Overview:
HSE Administrator role is responsible for managing the company's digital document delivery platforms, managing employee training records/HSE inspection data, developing weekly HSE reports, and is responsible for providing administrative support to the HSE Director in managing and coordinating HSE activities across the business unit. This role requires experience in safety administration, excellent communication skills, experience with HSE analytics programs, advanced technical computer skills, and keen attention to detail.
Responsibilities:Digital Document Delivery Platform Ownership:
- Serve as the lead for JCG’s digital document delivery platform (PRIM Talks, HSE Campaigns/Initiatives, PPT training development/branding, Translation of HSE documents from English to Spanish).
- Oversee the digitization of existing documents, ensuring accurate and efficient transformation from paper to digital formats.
- Train new users and administrators on the HSE software programs/platforms, ensuring all users understand how to access, submit, upload, and manage documents effectively.
- Troubleshoot platform issues, manage updates, and continuously improve system efficiency and user experience.
- Act as the primary point of contact for any platform-related inquiries, updates, or issues.
Training Records and HSE Inspection Management:
- Manage and maintain all incoming training records, ensuring that all certifications and training are up to date for employees.
- Ensure training records are accurately logged and easily accessible through the company digital platform.
- Train and coordinate with users to ensure correct/accurate documentation of training records and HSE inspection data is submitted.
- Develop training records reports for trending analysis.
- Input HSE inspections into the company digital platform/program.
HSE Reports Development:
- Develop and distribute weekly HSE reports, summarizing site compliance, training, incidents, inspections, and key safety data to stakeholders.
- Provide data-driven insights and recommend improvements to enhance safety performance across all projects.
HSE Training:
- Deliver In-Person designated HSE training to employees at various locations (indoor office, outdoor project setting- travel required).
- Prepare training materials/documents for training classes.
- Collaborate with other departments (HR, Recruiting) to ensure employee training is delivered in accordance with program requirements.
- Coordinate with HSE Director on training schedule.
Administrative Support:
- Support HSE Director in managing and coordinating activities across the business unit.
- Organize and prepare presentations, reports, and other documentation for meetings/presentation needs (weekly, monthly, quarterly).
- Other administrative duties as assigned.
- 2-5 years of experience in a safety administration role and training role, preferably in the construction industry.
- Experience in presenting and delivering HSE training to employees/supervisors.
- Proficient in HSE digital document management platforms/programs/systems.
- Strong understanding of HSE compliance regulations, standards, and best practices.
- Demonstrated experience in training management, HSE inspection programs, including record keeping and user training.
- Familiarity with safety-related certifications (OSHA, etc.).
- Excellent communication skills—both written and verbal, with the ability to create clear and concise reports and documentation.
- Ability to work independently and take ownership of responsibilities.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite, especially Excel for reporting purposes.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and prioritize tasks and follow verbal and written instructions.
- Must work well as part of a team and have time management skills.
