Sales Administrator (Internal Support - No Sales)
Location: Onsite, The Woodlands 77380
Employment Type: Contract, 40 hours a week
Pay Range: $20.00/hr – $25.00/hr
Position SummaryThe Sales Administrator provides internal support to the sales team by coordinating and assembling quotation and proposal documentation. This role works closely with the Senior Sales Administrator and internal departments to gather project information, develop proposal content, and manage the quotation process from request to final submission. This is not a sales position; there is no client interaction or selling involved.
Key Responsibilities- Serve as the central point of contact for assigned proposals and quotations.
- Collaborate with the Senior Sales Administrator and sales team to gather project data and field information.
- Assemble rough scope outlines and proposal content using Microsoft Word.
- Process thermal imaging documentation and select appropriate proposal language.
- Coordinate with internal departments across multiple business segments to obtain required documentation, including rate sheets, contracts, schedules, and safety/quality documentation.
- Write and edit portions of proposal responses to meet RFQ/RFP requirements.
- Ensure estimate details and takeoffs are accurate, complete, and aligned with project requirements.
- Manage the overall quote workflow in accordance with established processes.
- Track proposal progress from RFQ through final submittal.
- Maintain accuracy while working under tight deadlines and managing multiple deliverables.
- Support a positive, cooperative team environment.
- Associate's degree from an accredited college or university (business-related field preferred).
- Minimum of 1 year of experience in sales administration, sales support, or a related role.
- Experience using
- Bilingual Spanish preferred.
- Strong understanding of sales and quotation processes.
- Superior verbal and written communication skills.
- Exceptional attention to detail and organizational skills.
- Excellent grammar, proofreading, and editing abilities.
- Ability to multitask, shift priorities, and meet deadlines.
- Strong interpersonal skills with ability to communicate across sales, engineering, and field service teams.
- Proficient in Microsoft Office applications and Adobe.
- Self‑motivated and driven to take ownership of projects.
- Comfortable working in a fast‑paced, deadline‑driven environment.
- Strong problem‑solving and coordination skills.
