Overview

Texas Oncology, part of the US Oncology Network, is hiring a Surgery Scheduler for its full‑time position in The Woodlands, Texas. The role supports patient appointments and surgical scheduling at this high‑volume community oncology center.

Located in the vibrant, nature‑rich community of The Woodlands, Texas Oncology offers advanced, personalized cancer care close to home. The center’s management values teamwork, collaboration, and individualized care for each patient.

This position will be classified as Level I, II, or Senior depending on the candidate’s experience.

What does the Scheduler do? (including but not limited to)

Under direct supervision, the Scheduler will schedule patient appointments and tests efficiently and timely, answer all incoming calls, direct calls to appropriate personnel, serve as a liaison between patients and medical staff, and may handle outside or surgical scheduling duties. The Scheduler supports the US Oncology Compliance Program and adheres to the Code of Ethics and Business Standards.

Responsibilities

The essential duties and responsibilities (including but not limited to):

  • Answer all incoming calls; assess callers’ needs and direct them appropriately.
  • Obtain and convey messages accurately and promptly.
  • Schedule new patients, referrals, and returning patients in the computer system, ensuring proper documentation and coding.
  • Cancel or reschedule appointments in accordance with physician schedule changes and notify clinic personnel.
  • Enter insurance authorizations and referral correspondence into patient charts or EMR.
  • Collect copays, deductibles, and other out‑of‑pocket amounts at the time of visit.
  • Maintain the primary office scheduling template for physician meetings, satellite schedule, rounding, and call coverage.
  • Arrange financial counseling for patients when needed.
  • Demonstrate an understanding of patient confidentiality to protect patient and clinic information.
  • Follow policies and procedures to enhance front‑office efficiency and cover other functions as requested.
  • Prepare correspondence, memos, forms, and other typing as requested by supervisor.
  • Schedule outpatient appointments, testing/surgeries, hospital admissions upon request and obtain necessary pre‑certification.
  • Communicate with patients about surgeries or tests, potential prep work, and gather necessary information.
  • Follow up on all pre‑operative tests to ensure clearance for surgical procedure and communicate with physicians and patients if additional testing is required.
  • Schedule post‑operative follow‑up appointments with physicians.
  • Possess a basic understanding of medical terminology for tests and surgical procedures, including coding, and can look up specific diagnosis and procedure codes.
Qualifications

The ideal candidate will have the following background and experience:

Level I
  • High school diploma or equivalent required.
  • 0–3 years experience, preferably in a medical office setting.
  • Knowledge of medical terminology and coding is a plus.
  • Excellent communication skills, written and verbal.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) required.
Level II
  • Minimum three (3) years office experience, preferably in a medical office setting.
Level Senior
  • Minimum five (5) years office experience, preferably in a medical office setting.
  • Knowledge of medical terminology and coding required.
Physical Demands

Work may require sitting for long periods, stooping, bending, stretching, and occasionally lifting files or paper weighing up to 30 pounds. Adequate manual dexterity, vision correctable to 20/20, and normal hearing are required. Reasonable accommodations may be made for individuals with disabilities.
