SummaryResponsible for providing support to the elementary school office by maintaining, monitoring, and managing an accurate student database and student records/files; providing customer service and secretarial support; managing the daily student attendance process; and monitoring daily visitors to ensure a safe school environment. Administers and coordinates the student and course registration process and master schedule. Ensures accurate student database information and related reports.
Essential Duties and Responsibilities- Maintain, monitor, and manage an accurate student database and student records/files according to federal and state law and district policies by performing student registration, enrollment, withdrawal, and updates. Meet with new parents to explain policy, gather information, and enter registration data. Complete enrollment process by obtaining required paperwork (e.g., out‑of‑district records, birth certificates). Create an initial student cumulative file that follows the student throughout their district education.
Oversee the registration/intent process, compile and distribute registration materials, organize conferences, and handle student withdrawals. - Provide customer service and secretarial support in the front office. Screen and route calls, provide information, take messages, retrieve voicemail, make outgoing calls, and diffuse difficult situations. Screen visitors, scan IDs, print visitor badges, direct to appropriate parties, and manage access control. Call students for meetings/pick‑up, assist with early drop‑offs, and monitor post‑school pickups. Accept, sign for, and distribute incoming mail and packages, prepare outgoing mail, and coordinate district email and faxes.
Update the master calendar, maintain new student authorizations, send weekly autodialers, and record discipline referrals in Infinite Campus. - Manage daily student attendance: listen to attendance line, contact parents, enter absences and tardies, verify teacher attendance, run reports, log concerns, and send attendance letters. Schedule attendance meetings with the Principal as needed.
- Oversee processing and distribution of grade and progress reports. Ensure teachers have entered grades, run report card exception reports, request corrections, print report cards, and oversee distribution.
- Coordinate student registration/progress events such as back‑to‑school nights, open houses, and parent/teacher conferences. Prepare materials, handouts, agendas, newsletters, signs, posters, and publicize events.
- Build the master schedule by entering student courses and internal requests, analyzing conflicts, running schedule runs, and using the database software to develop a desired schedule. Ensure each student has a completed and accurate schedule for the new year; make corrections as appropriate.
- Perform other job‑related duties as assigned.
- High School diploma or equivalent.
- Minimum of 3 years of computer and general office experience.
- Experience working with school‑age children preferred.
- Criminal background check required for hire.
- CPR and First Aid certifications preferred.
- District Student Information System certification training within one month after hire.
Budget and/or Resource Responsibility:
This job has no budgetary responsibilities.
All classified positions are paid hourly. New hires begin at Step 1 of the pay grade and can advance up to Step 8 based on experience. Final placement depends on grade level and prior experience. Refer to the Classified Salary Schedule and Master Agreement for detailed rates.
