Under the supervision and direction of the Director of Admissions, the Admissions Coordinator is responsible for assisting with stages of the admissions process. The Admissions Coordinator will promote services by direct contact with in-bound callers seeking services in our facilities. Admissions Coordinator is also responsible for assisting the Director of Admissions and his/her team in admissions related projects.
Duties and Responsibilities:- Communicate directly with the Director of Admissions regarding admissions, tours, and assessments.
- Answer calls during business hours and provide callers with information regarding services provided and support during the admissions process.
- Schedule tours/assessments directly with the clinical team.
- Maintain updated information regarding facility services, census, and referral lists.
- Make outreach calls to referring Clinicians or referrals as needed or requested.
- Create admission documents and assist families with signing admissions documents when possible, ensuring all documents are properly filled out and recorded in KIPU.
- Verify insurance benefit information.
- Assist with expediting the admissions process during emergency situations.
- Attend designated staff, in-service, and admissions meetings.
- Communicate special needs of new admissions to staff to ensure a smooth transition.
- Serve as a role model to treatment staff, clients, employees, and guests through a positive, caring and professional attitude.
- Comply with the dress code.
- Complete tasks in a timely and accurate manner.
- Maintain the confidential nature of client and related activities.
- Any additional duties as assigned by the Director of Admissions.
Skills and Abilities:
- Engage in appropriate written and verbal communication with families, referral sources, and other professionals.
- Ability to manage time effectively.
- Ability to work with minimal supervision.
- Proficient in basic computer skills.
- Able to maintain clear boundaries with clients and staff.
- Work effectively within an interdisciplinary team environment.
Education and Experience
Required:
- High School Diploma required, BA/BS preferred.
- Strong interpersonal and organizational skills.
- Excellent written and verbal communication skills.
- Work effectively within an interdisciplinary team environment.
- Ability to set priorities and to handle multiple assignments.
- Must be able to demonstrate leadership and knowledge.
- Must be able to communicate with people from all educational and cultural backgrounds.
- Must cope constructively with stressful situations.
- Must demonstrate tact, initiative, resourcefulness, professional manner, enthusiasm, and non-judgemental attitude.
- Documents clearly and efficiently.
- Must have a valid driver’s license and eligibility for insurance with agency’s vehicles.
- Must have valid First-Aid & CPR Certifications and a criminal background check.
