Hours of Work
- 28.8 hours per week
- Worked across 4 days, Monday to Friday
- Shifts are usually 7.2 hours per day
- Shift times may vary between 08:00 and 18:00, depending on service needs
- Flexibility is required to support the effective delivery of the vaccination programme
As an Administration Officer, you will provide comprehensive clerical and administrative support to the Vaccination Team. You will often be the first point of contact for enquiries and will play an important role in ensuring services operate efficiently, accurately and in line with NHS Highland policies.
You will be required to work flexibly across different locations in Caithness and Sutherland and provide occasional cover for colleagues.
Key Responsibilities- Acting as the first point of contact for telephone, email and face‑to‑face enquiries
- Providing general administrative support to the Vaccination Team
- Managing confidential information in line with GDPR and NHS Highland policies
- Producing correspondence, reports and maintaining accurate records
- Organising meetings, taking minutes and following up actions
- Maintaining databases and undertaking data entry and reporting tasks
- Supporting payroll and other time‑sensitive administrative processes
- Ordering and maintaining office and clinical supplies
- Providing cross‑cover for colleagues and mentoring new or less experienced staff
- Working autonomously, prioritising workload and escalating issues appropriately
- Experience in an administrative or clerical role
- Good IT skills, including Microsoft 365 applications
- Ability to work independently and prioritise competing demands
- Strong communication and organisational skills
- Willingness to work flexibly across locations
- Valid UK driving licence
- Experience working within the NHS or a healthcare setting
- Knowledge of healthcare terminology (training can be provided)
- SCQF Level 6 qualification in an administrative subject, or equivalent experience
- Play a vital role in supporting community vaccination services
