The Supervisor provides coverage and support under the direction of the practice administrator, physicians, and the Clinical Program Manager. They coordinate and supervise clerical and clinical team members, oversee practice operations, and manage business functions such as scheduling, registration, billing, collection, patient satisfaction, and purchasing. They serve as the liaison between the practice and administration.

Responsibilities- Oversee team members, ensuring patients and visitors are greeted promptly and courteously.
- Monitor office flow and communicate delays to patients and staff.
- Develop and enforce staff work assignments, maintain the master work schedule, and collaborate with the practice administrator to set goals and objectives.
- Ensure all office operations are completed efficiently and accurately.
- Assist in recruitment, development, and supervision of team members.
- Oversee billing practices, ensuring timely and accurate data entry, charge and payment posting, and end‑of‑day procedures.
- Maintain knowledge of reimbursement procedures, insurance requirements, and regulations.
- Run billing reports, including appointment reconciliation and visit data.
- Assist with monthly reports on new‑patient volumes, expense variances, and revenue.
- Store collected monies safely according to practice protocol.
- Coordinate activities between clinical and clerical staff to promote teamwork and problem‑solving.
- Manage office inventory, monitor purchases, and ensure vendors meet budget parameters.
- Assist the practice administrator with facility issues and repair coordination.
- Follow protocol for vendor engagement, approvals, and invoice processing.
- Carry out additional duties and projects as assigned.
- Adhere to HMH organizational competencies and behavioral standards.
- Perform physical tasks including standing, walking, kneeling, stooping, crouching, climbing, stretching, lifting (up to 20 lbs.) and other required motions.
- High School diploma, GED, or equivalent.
- At least two years of supervisory experience or two years of progressively responsible clerical/secretarial experience involving public contact.
- Excellent communication, leadership, multitasking, and organizational skills.
- Proficient in Microsoft Excel and Word.
- Secretarial science education or Associate’s degree in health or business administration is preferred.
- EMR experience is a plus.
Minimum annual rate: $52,790.40 (actual compensation may vary based on experience, education, and job responsibilities).
