SchedulingLead – Maryview Medical Center
Job Summary
Assists the Scheduling Supervisor in managing the daily activities of the scheduling team and oversees in the absence of the supervisor. Supports in training new employees, orienting associates in processes, education, and other special projects. Utilizing a variety of resources, facilitates the scheduling of multiple departments, including related ancillary and diagnostic services, pre‑operative tests, appointments, and classes. Shares information with appropriate resources to ensure smooth processing of patients.
EssentialFunctions
- Obtains appropriate patient data to ensure procedures are scheduled accurately and to facilitate smooth patient registration and insurance verification process.
- Works with physicians’ offices or other hospital departments to coordinate the scheduling of surgical cases, related ancillary and diagnostic services, preoperative tests, and appointments or classes.
- Gathers pertinent information from physicians’ offices, surgical specialty coordinators, and other ancillary departments and vendors to accurately schedule surgeries with consideration for surgical case time, instrument and equipment conflict resolution, and other required resources.
- Notifies department staff and leadership of special equipment needs and requests.
- Serves as primary customer relations for system with all surgeon offices, specialty nurse managers and surgical specialty coordinators, notifying them of scheduling changes, class attendees, and daily case and appointment confirmations.
- Proactively reviews and monitors daily schedules for conflicts for multiple departments. This may include making accommodations for early requests, special room needs, or moving cases if needed to ensure smooth flow. Calls physicians offices or other departments to confirm and organize case load and other appointments.
- Alerts scheduling leadership of potential problems.
- Promotes teamwork through attendance in weekly team huddles and monthly staff meetings.
- Orients new scheduling coordinators as required.

Associates Degree (preferred)
Licensure/CertificationNone
Experience1 year of scheduling or staffing experience (preferred)
5 years prior surgical scheduling experience (required if exclusively supporting Surgical Scheduling team)
