Accounts Payable Specialist

We are looking for an Accounts Payable Specialist to support a busy accounting team in Toledo, Ohio. This long-term contract opportunity is ideal for someone who thrives in a fast-paced environment and takes pride in maintaining accurate financial records. The person in this role will handle invoice workflows, support vendor payment activity, and help keep payables operations organized and compliant.

Responsibilities:

• Retrieve monthly billing documents from vendor and utility portals, organize them appropriately, and prepare them for processing.

• Review invoices for accuracy, assign the correct account coding, and enter payment details into designated systems and digital records.

• Match invoices against purchase orders, work orders, and general ledger information to ensure proper approval and posting.

• Apply cost allocations accurately when shared expenses need to be divided across departments.

• Manage weekly payment activity by preparing check runs, verifying payment details, and coordinating distribution of issued checks.

• Process online vendor and utility payments in alignment with the regular payment schedule.

• Complete vendor credit application paperwork by collecting required business information and submitting documentation for approval.

• Research and resolve payment issues, invoice discrepancies, duplicate charges, tax-related questions, and returned check exceptions.

• Reconcile vendor statements against internal records to confirm outstanding balances and support accurate aging.

• Provide backup assistance for key vendor portals and related administrative tasks when needed.
