Executive Assistant to the President & Management TeamPosition Summary
We are seeking a highly organized, proactive, and trustworthy Executive Assistant to provide comprehensive administrative support to the President and the Management Team of the Glass Reinforcements business. This role requires exceptional communication skills, attention to detail, and the ability to maintain the integrity of confidential and highly sensitive data. The ideal candidate will be a reliable and resourceful partner who ensures smooth day-to-day operations and contributes to the overall efficiency of the Management Team.
Key Responsibilities- President & Management Team Support:
- Manage calendars, schedule meetings, and coordinate travel arrangements for the President and Management Team.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle confidential information with discretion and professionalism.
- Serve as a liaison between the President/Management Team, internal teams, and external stakeholders.
- Provide basic technical assistance, including support with devices, meeting platforms, and presentation tools, to ensure seamless execution of meetings and daily operations.
- Meeting & Event Coordination:
- Organize and support regular Management Team meetings, including agenda preparation, logistics, and minutes.
- Coordinate the planning and execution of important events, including large internal team meetings, customer-facing meetings, and leadership offsites.
- Project & Office Management:
- Track and follow up on action items and deliverables from executive meetings.
- Support special projects and strategic initiatives as directed by the President and/or Management Team.
- Maintain office systems and procedures to ensure efficiency and compliance.
- Communication & Relationship Management:
- Screen and prioritize incoming communications and requests.
- Build strong relationships across departments to facilitate collaboration and information flow.
- Ability to demonstrate proven capabilities required to be successful as an Executive Assistant.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, SharePoint).
- Proficiency in the use of portable electronic devices such as iPhones, iPads, and other mobile technology.
- Ability to work independently, anticipate needs, and exercise sound judgment.
- High level of integrity and professionalism.
- Experience working with global teams.
- International travel support experience is preferred.
- High School diploma or equivalent is required, associate or bachelor's degree is preferred.
