Key Responsibilities Duties may include:
Providing general administrative support to departments and team members. Greeting visitors and maintaining visitor records and logs. Answering and directing telephone calls and responding to routine enquiries. Coordinating meetings, booking meeting rooms, and arranging travel where required. Managing incoming and outgoing mail, packages, and correspondence. Maintaining departmental filing systems and ensuring accurate record retention. Processing, updating, and maintaining information within company systems and databases.
Supporting the administration of maintenance and facilities records, including work requests and supplier documentation. Logging and distributing project submissions and departmental communications. Processing non-purchase order invoices and supporting invoice administration. Requesting and tracking outstanding supplier invoices and documentation. Preparing reports and distributing information on a regular basis. Maintaining staff records, visitor registers, induction records, and other compliance documentation. Scanning, filing, and electronically storing documents.
Supporting company compliance, health & safety, quality, and environmental processes. Assisting with additional administrative duties as required. Candidate Requirements Previous administration experience within an office environment. Strong IT skills, including Microsoft Word, Excel, Outlook, and other Microsoft Office applications. Excellent organisational skills with strong attention to detail. Ability to manage multiple tasks and prioritise workload effectively. Professional and confident communication skills, both written and verbal.
Experience supporting invoice processing or accounts administration would be advantageous.
Experience with in maintenance, facilities, engineering, or manufacturing administration would be beneficial but is not essential. Person Specification Highly organised and methodical. Able to work independently and as part of a team. Professional and approachable manner. Strong problem-solving skills and ability to use initiative. Reliable, adaptable, and able to work in a fast-paced environment. Experience & Qualifications Educated to GCSE level or equivalent.
Previous administrative experience is essential.
Experience with in a facilities, maintenance, engineering, or manufacturing environment is desirable. Accounts payable or finance administration experience would be advantageous.
