Work Schedule: 9-5 Monday-Friday, Events as required on occasion

Reporting Relationship: Finance Director and HR Manager

Core

  • Works independently on routine and assigned bookkeeping and accounting tasks as directed by the Director of Finance.
  • GAP knowledge and accrual-based accounting experience
  • Understands the chart of accounts, trial balance, and balance sheet.
  • Compiles all accounts payable and receivables, recording transactions and accruals.
  • Compiles and provides journal entries for all expenses.

Manage the general ledger and record journal entries as needed and make monthly adjustments to the Balance Sheet

  • Bank reconciliations monthly
  • Produce monthly financials.
  • Supports annual external audit
  • Supports annual budget process
  • Performs collaboratively with and in support of other departments within Friends of The Topeka Zoo.
  • Leverages accounting software and IT systems to effectively perform duties.
  • Delivers with timeliness, accuracy, completeness, and effectively, to the highest ethical standards, and in accordance with generally accepted accounting principles for non-profit entities and in accordance with the organization’s mission, values, and universal standards.

Reporting:

  • Monthly: prepare financials and corresponding reports to share with Director of Finance for presentation to the Board of Directors.
  • Prepare reports as requested.

Administrative

  • Maintain and update files.
  • Communications (email, phone, written correspondence)
  • Record expenditures and transactions
  • Make needed tax payments in a timely manner

Primary Accountabilities:

  • Expertise in Accounts Payable process, Accounts Receivable, G/L, and Reporting, with knowledge of accrual-based bookkeeping and financial transactions, is required.
  • Bi-Weekly Payroll
  • We are looking for an individual with a keen eye for detail, strong math skills, and the ability to multitask efficiently.
  • You should also be trustworthy, an excellent communicator, and an overall collaborator.
  • Your goal will be to ensure our accounting procedures run smoothly and timely

Major Duties:

  • Make journal entries
  • Financial close each month – reconcile AR, AP, check accrual entries and prepaid entries, fixed assets
  • Tracking and reporting as required
  • G/L entry as required
  • Performs additional duties as assigned.
  • Create weekly or on-demand Payables checks
  • Generates Bi-weekly Payroll, resolves discrepancies

Required Qualifications:

  • Bachelor’s Degree, Associate Degree, or relevant experience.
  • Two (2) to five (5) years of related Finance professional experience in a business office, non-profit experience is a plus
  • Valid driver’s license required.
  • Reliable and punctual attendance habits.
  • Quick Books (online) experience REQUIRED
  • Proficient computer skills, including Microsoft Office. Ability to operate a variety of office equipment.
  • Ability to engage and communicate effectively verbally and in writing with staff at all levels.
  • Ability to adapt to a fast-paced working environment.
  • Friendliness, enthusiasm, and a positive and professional attitude.
  • Effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Strong organizational skills and the ability to coordinate multiple projects.
  • Ability to demonstrate conduct conforming to a set of values and accepted standards.
  • Demonstrated poise, tact, and diplomacy with the ability to handle sensitive and confidential information and situations.

Physical Demands:

  • Ability to frequently reach with hands and arms.
  • Ability to sit for extended periods of time.
  • Ability to read computer screens, e‑mail, and mail.
