Position OverviewNight Desk Assistants work overnight (10:00 PM–6:00 AM) as hourly student staff within Housing & Residence Life. They report to the Student Desk Manager/Administrative Associate or Business Coordinator for Front Desks & Administration. Responsibilities include hall safety and security, customer service, access control, administrative duties, and communication functions within a residence community. Assistants collaborate with other student staff in paraprofessional roles, maintain confidentiality, and support an academically supportive environment.
They are expected to remain in good standing with the University and Housing & Residence Life.

- Participate positively in training, meetings, departmental communication, and annual performance evaluation.
- Commit to personal integrity, ethical behavior, and adherence to laws and policies.
- Be subject to progressive discipline for violations of policies, procedures, or regulations.
- Attend all scheduled departmental, staff, and training programs.
- Participate in an annual position evaluation.
- Ensure a welcoming reception area.
- Greet residents, staff, and guests; answer phones and address questions and concerns.
- Manage hall occupancy tasks: issuing keys, check‑ins/check‑outs, lockouts, equipment check‑outs, mail and packages, scheduling room reservations.
- Serve as information hub for the building.
- Coordinate incoming and outgoing communication.
- Perform additional duties and special assignments as directed.
- Monitor card access system and security cameras.
- Ensure access is restricted to residents, approved staff, and accompanied guests.
- Maintain awareness of hall surroundings; verify non‑resident guests accompany a resident.
- Report suspicious behavior to hall staff and KU Public Safety.
- Assist hall staff during emergencies.
- Submit incident reports documenting events.
- Enforce University of Kansas and Housing & Residence Life policies.
- Document incidents and submit reports through the online system.
- Communicate with other KU Housing & Residence Life staff as appropriate.
- Work an average of 8 hours per week, including night and weekend shifts and final exam schedule.
- Available for shifts during university breaks.
- Proficient with Microsoft Office suite.
- Experience with Housing & Residence Life, especially current residents or staff.
- Customer service and administrative experience.
- Ability to manage tasks in a fast‑paced environment with changing priorities.
During the semester, hourly students must be enrolled in at least 6 credit hours. For summer periods, students must have been enrolled in at least 6 hours in the past spring, be pre‑enrolled for the upcoming fall, be enrolled in summer session, or be admitted to study in the upcoming fall. Undergraduate or graduate students are eligible. (Exceptions for GRA/GTA/GA appointments do not apply.)
EmploymentConditions
- Student employees are not eligible for remote work unless approved by unit leadership and HR.
- This is an hourly/non‑exempt position. Students cannot hold both an hourly/non‑exempt and a salaried/exempt graduate or undergraduate position concurrently.
