Hours of Work: 37.5 hours per week (8:30a.m. – 4:30p.m.)
Responsibilities- Receive and process Program “Bills for Payment” and Med Trans reimbursements on a weekly basis.
- Ensure that supervisory approval limits are followed, BCRs are attached as necessary, invoices are properly coded, PO is attached, and that the invoice reflects the last payment prior to processing (invoice reflects an amount owing that has already been processed).
- Process program cheques weekly, maintain a sequential cheque log for issuance and signing, distribute cheques for signature, and ensure cheque signers have signed the log after approval.
- Deliver cheques to the receptionist identifying cheques for pickup and cheques to be mailed.
- Review vendor recurring payments for potential direct withdrawal by vendor with electronic payment details (invoice, etc.). Examples include utilities especially Hydro and GB Fire & Safety (multiple invoices for locations). Enter manual cheque templates in Adagio for direct withdrawals.
- Forward all vendor requests for bank payment information changes to the Finance Manager.
- Accurately input various financial documents (Journal Entries, invoices, Cash Receipts EFT payments) into Adagio AP, GL, AR to support the monthly Adagio accounting process.
- As part of ongoing audit preparation, scan all invoices over $5,000 and e‑file in the accounting folder on the Server; assist with audit processes by providing general support, pulling invoices, and copying documents.
- Ensure security of all financial documents.
- Advise supervisor of any issues related to financial duties.
Education and Experience
- Post‑secondary certificate in a related field and one (1) year experience in a similar role, or a High School diploma/equivalent with some experience in a similar role.
- Experience working with a First Nation or Indigenous organization would be an asset.
- Working knowledge of general office procedures and general office equipment.
- Working knowledge of the payables in a computer accounting system.
- Working knowledge of Microsoft Office software (Excel, Word) and ability to learn various databases.
- Perform routine mathematical calculations accurately.
- Ability to maintain attention to detail while multitasking with tight deadlines.
- Adagio experience would be considered an asset.
- Recent acceptable Criminal Record Check.
- Ontario Class G Driver’s licence would be an asset.
- Training and certification in WHMIS 2015, Workplace Harassment & Violence Training, COVID‑19 Health & Safety Training, Occupational Health and Safety Training for Workers, Health & Safety Overview.
- Working knowledge of the Adagio Accounting Package for G/L, A/R, A/P or similar.
