We are seeking a detail-oriented Property Administrator to join our team and support the administrative and financial operations of one of our retail property businesses. This role offers an excellent opportunity to gain exposure to both property management and financial administration within a collaborative and fast-paced environment.

Position Overview

The Property Administrator supports the day-to-day administrative and financial operations of a retail property within the Serruya Private Equity portfolio. Working closely with Property Management, Finance, and internal stakeholders, this role is responsible for accounts receivable administration, tenant billing, lease administration support, financial reporting, and general property administration to ensure efficient and accurate operations.

Key Responsibilities Accounts Receivable & Financial Administration
  • Prepare and process tenant billings, including base rent, additional rent, recoveries, and miscellaneous charges.
  • Monitor and reconcile tenant accounts and follow up on outstanding balances.
  • Coordinate collections and maintain accurate accounts receivable records.
  • Post and apply payments received through cheques, EFTs, and other payment methods.
  • Assist with monthly accounts receivable reconciliations and investigate variances.
  • Prepare supporting documentation for audits and financial reporting.
Lease & Tenant Administration
  • Maintain accurate tenant records, lease abstracts, and electronic filing systems.
  • Track lease critical dates, renewals, amendments, and other documentation.
  • Respond to tenant inquiries regarding billings, statements, and account balances.
  • Assist with maintaining accurate lease administration records.
Property Administration
  • Provide administrative support to the Property Management team.
  • Assist with budgeting, forecasting, and year-end financial processes.
  • Coordinate with Finance to ensure reporting deadlines and data accuracy are met.
  • Process purchase orders, invoices, and expense documentation.
  • Maintain organized property records and documentation.
General Responsibilities
  • Ensure compliance with internal policies, procedures, and financial controls.
  • Maintain confidentiality of tenant, financial, and company information.
  • Support special projects and other administrative duties as assigned.
Qualifications
  • Post-secondary education in Business Administration, Accounting, Finance, or a related field is preferred.
  • Minimum 2-3 years of experience in property administration, accounts receivable, accounting, or a similar administrative role.
  • Experience with in commercial real estate, shopping centres, retail property management, or multi-site operations is considered an asset.
  • Experience with Yardi or other property management/accounting software is an asset.
  • Strong understanding of accounts receivable processes and financial administration.
  • Intermediate to advanced proficiency in Microsoft Excel and Microsoft Office.
  • Excellent organizational skills with strong attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
