What is the Opportunity?We are seeking an experienced Executive Assistant to provide comprehensive support to the VP of Cash Management Technology Canada. This role supports a dynamic leader driving digital transformation and AI innovation within RBC's commercial banking division. The ideal candidate will be a strategic partner who enables the VP to maximize their impact on critical initiatives while seamlessly managing complex administrative demands in a fast-paced environment.What will you do?
Act as primary point of contact for internal and external stakeholders, managing correspondence with senior executives, partners, and clients
Manage and maintains calendars, coordinates meetings, conferences, and stakeholder engagements across multiple time zones and business units
Work closely with other executive assistants in the organization to effectively plan meetings, events and manage calendar series. Provide administrative back-up to other executive assistants during vacation and other absences
Responsible for monitoring an inbox to help manage meeting proposals, action items and address and delegate inquiries.
Prepare presentation materials, reports and meeting agendas, as required. Ensure relevant information is accessible, assembled and prepared for meetings.
As required, follow up on any agenda items, minutes or deliverables including coordination with facilitator and presenters to deliver materials in a timely manner.
Proactively seek opportunities to provide additional value to ensure all established deadlines/commitments are met
Support onboarding of new team members, including technology setup and system access coordination
Coordinate recognition programs, team events (townhalls, roundtables, etc), and internal communications within the technology organization
Coordinate travel and hotel arrangements for the team and process expense reports, as needed.
Maintain confidential records and effectively handle sensitive information
Must-have:
3-5 years of executive-level administrative support experience, preferably in technology, financial services, or transformation environments
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and collaboration platforms
Demonstrated ability to manage competing priorities and make autonomous decisions in a dynamic environment
Exceptional interpersonal skills with ability to build relationships across all organizational levels, from technical teams to C-suite executives
Strong organizational capabilities with keen attention to detail and ability to handle multiple complex projects simultaneously
Proven track record of maintaining strict confidentiality and handling sensitive business information
Excellent written and verbal communication skills
Knowledge of relevant policies and procedures (e.g. Workday, vacation and absence management, expense guidelines, travel policy)
