Position: Facilities Administrative Assistant (Canada Summer Jobs)
No of Weeks: 30 hours per week

Position Summary:Responsible for providing administrative support to the Facilities and Properties Department
Responsibilities:Responds to basic inquiries for information from internal and external stakeholdersTrack service records and provide administrative support for building maintenance, janitorial operations and fire safetyReview tenant records with support and file appropriatelyFile and trace purchase orders, invoices, quotes and service contractsRequest quotes to arrange for supplies or servicesAttend staff meetingsAssists with tenants’ engagement and supportAssist with special assignments for project administrationMaintains Bulletin Boards for notices on a regular basisProvides general administration support such as filing, assists with reading forms and photocopyingChecks and opens new files for Housing ApplicationsSends acknowledgement of applicationsPhones clients to update their status and willingness to remain on the market rent waiting list – language skills:Drafts simple notices and signsPosts and removes notices as per schedule.Follows up on job orders for property maintenanceUpdates files on the network that are outstandingProvides other administrative and clerical dutiesEducation:Pursuing post-secondary education in Business Administration/ Project ManagementQualifications:Previous administrative experience an assetExcellent attention to detailAble to handle multiple tasks and handle prioritiesStrong organizational skills and time management skillsStrong computer skills in using Excel, Word and emailAbility to speak a second language (Cantonese, Tamil, Mandarin, Greek) an assetRequirements:To be eligible, applicants must:
be between 15 and 30 years of age at the start of the employmentbe a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment.
