Position: Medical Administrative Assistant (Part-time)

Job Description

Our client in the healthcare industry is hiring a Medical Administrative Assistant on a part-time basis (3-days/week). This role involves coordinating patient appointments, preparing correspondence and reports, maintaining filing systems, handling communication, and providing cross departmental administrative support. The ideal candidate is highly organized, proactive, excels in multi-tasking, email/phone communication, scheduling and note taking.
  • Location:

    Fully on-site in Downtown Toronto
  • Schedule:

    3 days per/week (7.5 hrs/day)
  • Contract:

    11 weeks, with the potential for extension up to 6 months
  • Key Responsibilities:
  • Act as the first point of contact for inquiries from hospital staff
  • Coordinate patient bookings, referrals, and requisitions
  • Manage high email & phone traffic, ensuring timely responses and follow-ups
  • Assist with monthly meeting coordination and minute-taking for department leadership
  • Manage filing systems, ensuring files are stored correctly
  • Provide occasional assistance with event coordination, including room setup and refreshments
  • Handle multiple administrative tasks, such as calendar management, appointment scheduling, minute taking, and document preparation
  • Work extensively with MS Office (Excel, PowerPoint, Word) and hospital booking tools
  • Qualifications & Requirements:
  • Minimum 2 years of administrative experience in a healthcare/clinical setting
  • Post-secondary education (college/university level)
  • Knowledge of medical terminology and patient care processes
  • Experience managing high/low-risk patient priorities
  • Proficiency in MS Office Suite and scheduling/booking systems
  • Exceptional organizational, communication, and coordination skills
  • Ability to handle a fast-paced, multi-tasking environment
  • Emotionally intelligent, patient, and proactive
  • Willingness to undergo an immunization check
