Capital One Canada is looking for an Administrative Assistant (1 Year Contract) to support 3 to 5 executives in a fast‑paced, tech‑savvy environment.
OverviewWe are seeking an experienced, multitasking, and self‑motivated Administrative Support Assistant III to handle executive support tasks for multiple senior leaders.
About the TeamAs a gatekeeper and extension of your executive leaders, you will be at the center of team operations, ensuring that executives can focus on department and company goals.
About the RoleAdministrative Assistants perform an array of critical functions. Primary responsibilities include strategic calendar management, travel arrangements, meeting logistics, expense reporting, communications, and general administrative duties.
Responsibilities- Manage complex calendars for multiple executives, coordinating meetings, events, and offsites.
- Organize logistics for meetings and events, including catering, room booking, and media set‑up.
- Coordinate travel arrangements and expense reports.
- Assist with preparation and distribution of presentation materials.
- Prepare professional business communications.
- Answer calls and capture detailed messages.
- Screen executive emails for prioritization.
- Build and maintain relationships with executive and administrative staff.
- Handle general administrative duties (copying, faxing, mail, supplies).
- Provide excellent customer service internally and externally.
- Promote a fun and team‑oriented work environment.
- High School Diploma, GED or equivalent certification.
- At least 2 years of administrative experience.
- Proficiency in Google Suite or Microsoft Office Suite.
- Associate’s Degree.
- 5+ years as an Executive or Administrative Assistant in a fast‑paced setting.
- 3+ years of calendar management for multiple executives.
- Experience with Zoom/Skype and video conferencing.
- Experience in meeting and event planning.
- Strong written and verbal communication.
- Excellent organizational skills.
- Have represented senior leaders with professionalism.
