Clerical Assistant – Specialty Clinics
Reporting directly to the Clinical Leader/Manager, the Clerical Assistant will be responsible for performing a broad range of administrative, secretarial, word processing and business support services for the 4CC specialty clinics.
Responsibilities- Provide administrative and secretarial support to the Clinical Leader/Manager and other members of the patient care team.
- Schedule patient procedures and outpatient follow‑ups using state‑of‑the‑art computer software.
- Liaise with various hospital departments such as payroll and purchasing to exchange information and resolve issues.
- Utilize computer equipment and software packages (word processing, spreadsheets, graphics) to generate correspondence, reports and documentation.
- Operate multi‑line telephones, greet and receive visitors (patients, families) and respond to inquiries including patient safety concerns.
- Transcribe and process physician orders in a timely and efficient manner.
- Collect unit statistics including nursing workload measurement.
- Perform other duties as assigned.
- Graduate of a recognized Medical Administration program or equivalent experience.
- Medical terminology certificate required.
- Excellent computer experience in Microsoft Office (Word, Excel, PowerPoint, Outlook), MS4 ADT, Soarian Clinicals, Soarian Scheduling.
- Proficiency in Sovera, Syngo, Connecting Ontario, ART (Ambulatory Referral Tracking), and Carestream preferred.
- Current clinic experience for specialty services preferred.
- Ability to work in a fast‑paced and demanding clinic environment.
- Communicates clearly and fluently in English; demonstrated oral English language skills for patient and team communication.
- Excellent interpersonal and communication skills.
- Highly organized and efficient time‑management skills.
- Problem solver.
- Maintains a calm and pleasant demeanor, uses good judgment and discretion, works well under pressure.
- Flexible in rotating job assignments.
Shifts are subject to change based on departmental needs.
