About

The Role

As a CBRE Coordinator, Tenant Services, you will oversee the coordination of a variety of departmental and financial activities. This role will be onsite supporting property management at Exchange Tower, while also supporting Northbridge Place.

What You’ll Do
  • Work with a Market Leader to identify opportunities to improve service delivery to customers.
  • Create monthly forecasting reports and present to management.
  • Verify that the database of management and leasing contract information is accurate and up to date.
  • Review and approve vendor invoices, billings, expense reports, accounts receivables (including tenant charge backs and account reconciliation), and the contract execution process.
  • Support the contract execution process.
  • Review data integrity across systems.
  • Ensure compliance with company policy, real‑estate law, and provincial and federal guidelines.
  • Facilitate communication of best practices, policies, procedures, and initiatives to support operations.
  • Train new team members on policies, procedures, processes, administration and governance.
  • Coordinate all pre‑move‑in and move‑in requirements, as well as pre‑move‑out and move‑out requirements, including new tenancy memos, tenant set‑up/removal across all systems, and make‑good requirements notification. May participate in the Asset Services internal audit process.
  • Work with senior management to improve operational compliance, especially for retail tenants regarding signage, garbage, and storage regulations.
  • Gather and analyze data to identify and solve complex problems with little or no precedent; may recommend new techniques.
  • Assist with creating and executing content for the axiis app, including tenant events, charitable promotions, local area updates, and publicizing tenant programs. Update Digital Directories and FCPEX website. Assist tenants with axiis app onboarding.
  • Participate on the Tenant Service Team in organizing all internal tenant events (e.g., Valentine’s Day, Earth Month, Tenant Appreciation, Waste Reduction Week, Tenant Survey).
  • Suggest improvements to existing processes and solutions to increase team efficiency.
  • Additional responsibilities as assigned.
What You’ll Need
  • High School Diploma or GED with 3–4 years of job‑related experience.
  • A comprehensive understanding of a range of processes, procedures, systems, and concepts within the job function.
  • Ability to evaluate and communicate unusual and/or complex content concisely and logically.
  • In‑depth knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) and advanced organizational skills.
  • Advanced math skills, including the ability to calculate percentages, discounts, and markups.
