Executive Assistant – Executive Vice President, Toronto, Canada

As an Executive Assistant you will provide dedicated administrative support to an Executive Vice President and a broader team.

Salary$75,000 – $95,000 CAD (annual base salary, with market-appropriate variable component)
What You’ll Do- Own and maintain calendar management for the leader; troubleshoot conflicts with creative solutions
- Coordinate national and international travel; manage delays, re‑scheduling, and meeting adjustments
- Process expenses and ensure timely completion
- Organize in‑office or virtual meetings, town halls, or offsite events; handle room booking, agenda development, technology setup, PowerPoint deck prep, event troubleshooting, and catering with dietary restrictions
- Maintain confidentiality, manage leader’s email priorities, and perform important administrative tasks on their behalf
- Ensure accuracy in ad‑hoc tasks (reports, invoices, communications, tables, charts, files)
- Provide regular status updates to the immediate team on projects and day‑to‑day activities
- Offer vacation/temporary coverage for colleagues and support additional leaders as needed
- Provide training to newer Administrative Assistants/Executive Assistants and support complex joint tasks
- Work autonomously with the leader; partner with Special Assistants or other leaders to complete unique assignments
- Provide support while ensuring quality service and professionalism at every interaction
- Participate fully as a member of the team and contribute to a positive work environment
- Undergraduate degree preferred, 5+ years relevant experience
- Extensive knowledge of Windows, Microsoft Office Suite, Internet applications (Outlook, PowerPoint, Word, etc.)
- Experience coordinating travel arrangements and managing frequent changes
- Excellent communication skills, active listening, clear questioning, and effective communication
- Proven track record as an executive assistant
- Leadership skills for mentoring junior colleagues
- Exceptional organizational skills; multitask and adapt in a fast‑paced, dynamic environment
- Collaboration with other Executives Assistants/Administrative Assistants and internal/external partners
- Strong judgment and discretion with confidential information
- Ability to interpret and apply TD policies and standards in a fast‑changing environment
