SummaryWe are seeking a highly skilled, proactive Executive Assistant to provide strategic administrative support to Vice Presidents within the AI Fabric Data Center organization. This role is critical to enabling executive effectiveness in a complex, highly technical, and rapidly scaling environment. The ideal candidate thrives in ambiguity, operates with exceptional judgment and discretion, and brings a strong ability to manage competing priorities across engineering, operations, and business strategy functions.
Key Responsibilities- Executive Support:
- Serve as a trusted partner to VPs, providing high‑impact, proactive administrative and operational support.
- Manage complex calendars, schedule meetings, and coordinate travel arrangements for the VP’s and Directors.
- Prepare and organize briefing materials, presentations, and reports for internal and external meetings.
- Handle confidential information with the highest level of integrity and discretion.
- Team Coordination:
- Act as a central point of coordination between Engineering, Operations, Business Strategy, Finance, HR, and other key partner teams.
- Support rhythm‑of‑business activities including staff meetings, business reviews, planning cycles, and leadership offsites.
- Draft and edit executive communications, presentations, and internal documentation as needed.
- Operational Excellence:
- Track and manage deadlines, deliverables, and follow‑ups for key projects.
- Process expense reports and monitor budget‑related activities as required.
- Support onboarding for new leadership team members and key stakeholders.
- Event & Program Support:
- Coordinate logistics for leadership meetings, offsites, and cross‑functional forums.
- Partner with internal teams to support planning for data center‑related initiatives, reviews, and milestones.
- Post‑secondary education in Business Administration or related field preferred.
- 5+ years of experience supporting senior executives (Director level or above), preferably in a technology, engineering, or operations‑driven environment.
- Proven ability to manage complex schedules and priorities for multiple leaders simultaneously.
- Exceptional organizational, time‑management, and problem‑solving skills.
- Strong written and verbal communication skills.
- High degree of professionalism, integrity, and discretion.
- Proficiency with Microsoft 365 tools (Outlook, Teams, PowerPoint, Word, Excel).
- Fully bilingual in French and English.
- Comfort working in a fast‑paced, ambiguous, and evolving environment.
- Excellent written and verbal communication skills in both French and English.
- Ability to work independently and collaboratively in a dynamic environment.
Adequate knowledge of French is required for positions in Quebec.
