Your Opportunity

Reporting to the Associate Director, Graduate Academic Services, this position assists in all aspects of graduate program admission and administration, including advising students on program requirements, supporting program administration and coordinating program logistics.

Term opportunity to March 2027.

Responsibilities
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Determining logistical details and activities for events and/or programming
  • Maintaining course information on student information systems
  • Ensuring that procedures and/or guidelines are followed
  • Providing detailed information to students on program and/or course requirements
  • Advising students on personal and academic issues by probing and providing a range of options and possible consequences
  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Collating and organizing data for various reports
Essential Qualifications
  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum two years of recent and relevant experience in providing administrative support in an academic department for complex academic student related programs, providing information and advice to students and faculty members, and applying and interpreting student related policies, programs, and procedures. Some experience should be in direct support of graduate students and/or programs.
  • Experience interacting with and advising graduate students from diverse backgrounds.
  • Experience with providing information to students on graduate admissions and related processes.
  • Demonstrated experience working with databases, preparing and analyzing statistical reports.
  • Experience updating, maintaining records and ensuring accuracy, including student records and marks.
  • Experience with coordinating program logistics, including timetabling, maintaining calendars and coordinating rooms assignments.
  • Experience coordinating admissions, enrollment, awards, and mark/grade processes.
  • Experience coordinating events with the ability to perform event set up and close off.
  • Strong computer skills in MS office, database, content management systems and group scheduling software.
  • Strong skills with ROSI, Slate, SGS Progress Tracker and SharePoint.
  • Solid knowledge on academic policies and procedures including: general admission process, program/degree requirements, application process and role of the registrar.
  • Excellent organization, planning, time management and prioritizing skills in a high volume environment.
  • Excellent interpersonal, written, and verbal communication skills, with the ability to relate to all levels of faculty, staff and student in a manner which facilitates cooperation.
  • Strong skills in analyzing, organizing and summarizing data.
  • Strong problem solving skills with sound judgement.
  • Ability to work effectively under pressure and to meet deadlines.
  • Demonstrated attention to detail; dependability; accuracy.
