The Administrative Assistant II exercises judgment and independence in the performance of administrative activities in the Division of Medical Oncology and Hematology ponsibilities include word processing and typing to produce moderate to complex documents, maintaining calendars, managing billing procedures and budgeting records, ensuring efficient office operation, managing electronic and paper filing systems, and supporting clerical functions.
Responsibilities- Effectively manage constantly changing priorities within a busy program and calendar.
- Process incoming referrals and schedule/reschedule patient appointments; respond to general inquiries; cancel appointments; send reminder communications.
- Support data reporting requirements and maintain positive patient experience, including registering patients in EPIC EMR when required.
- Exercise judgment and independence in supporting a busy service, using critical thinking and accurate information processing.
- Upload documentation following patient consults with clinicians, nurse coordinators, and allied health, and transfer notes back to referring clinicians.
- Provide backup/cross‑coverage support as part of the operational administrative team.
- Completion of Secondary School or recognized equivalent.
- Completion of a recognized post‑secondary office/medical administration program at the certificate level or equivalent.
- Two (2) years of related administrative support experience.
- Experience working with EPIC EMR for managing referrals, appointment scheduling, and standard clinical operations.
- Experience with Microsoft Office in a work environment.
- Experience in a health care environment.
- Fluency in a second language (e.g., French) considered an asset.
- Knowledge of medical terminology.
- Excellent organizational and time‑management skills.
- Excellent interpersonal, verbal, and written communication skills.
- Ability to work well under pressure and exercise good judgment.
- Ability to work effectively in an interdisciplinary team.
