Job Description

Reporting to the Senior Manager, Group Benefits (GB) Sponsor ships and Events, the GB Coordinator is responsible for the activation and execution of the Group Benefits sponsorship activities and events, including planning, coordination and follow‑up with conference vendors and agencies. The GB Coordinator will also play a role in overseeing the Group Benefits Sponsorship & Events calendar.

What will you do?
  • Point of contact with external vendors and internal communication and enablement staff, handling day‑to‑day inquiries related to sponsor ships and media.
  • Schedule meetings with conference vendors to review the critical path and obtain event details.
  • Record all sponsorship deliverables and update the project file as the status of deliverables changes.
  • Ensure all deliverables outlined in the critical paths are kept on track.
  • Communicate and work closely with the communication and enablement staff to ensure deliverables are completed on time.
  • Schedule and participate in regular sponsorship meetings with marketing staff to review sponsorship deliverables, capture minutes and track action items.
  • Manage the coordination of complimentary passes and registration of staff and clients using the passes.
  • Coordinate the printing of materials for conferences and events, facilitate the delivery of event materials, and act as the onsite contact when necessary.
  • Manage the creation and distribution of all post‑event surveys sent to attendees, collect and compile pre‑ and post‑event metrics and prepare summary reports on each sponsored event.
  • Update the logo trademark agreement for each sponsored event and work with legal for approval.
  • Support the Senior Manager, Sponsorship and Events with tasks related to events such as Client Partnership Council and Advisor Business Council.
  • Monitor, maintain and enforce Conference & Event Contingency procedures.
  • Gather, organize and store media kits in an accessible folder for use by the marketing team.
  • Schedule and participate in regular meetings with the communication and enablement staff to ensure timelines are met as it relates to purchased Group Benefits media/advertising.
  • Act as liaison with media vendors for inquiries that the marketing staff have as it relates to ad specs.
  • Work closely with presenters and ensure they are well prepared for their speaking engagements.
  • Project manage key projects including running meetings, tracking deliverables, capturing post‑event metrics.
  • Liaise with internal partners such as the internal Events Services team, Design team, Linguistics and communications.
  • Support ad‑hoc projects such as the execution of contest winner communication and administration.

  • Excellent interpersonal and communication skills (verbal and written).
  • Ability to work collaboratively with internal team members and external vendors.
  • Proven ability to work independently with minimal direction and manage timelines without supervision.
  • Detailed and results oriented and ability to respond quickly to new or changing work demands.
  • Advanced PC knowledge including MS Office (Word, Excel, PowerPoint) and ability to learn other software packages.
