Job DescriptionThe Office Manager at The Forest Hill Group will play a pivotal role in ensuring smooth operations and impeccable service delivery. As the backbone of our back‑office operations, you will be responsible for a range of administrative, managerial, and coordination tasks. Your primary duties will include:
- Office Administrator – Responsibilities
- Manage day-to-day office operations and ensure the office runs efficiently.
- Previous experience in an administrative or office support role.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Excellent verbal and written communication skills.
- Strong organizational and time‑management abilities.
- Ability to multitask and prioritize in a fast‑paced environment.
- High level of accuracy and attention to detail.
- Professional attitude with excellent customer service skills.
- Ability to work independently and as part of a team.
- Answer and direct incoming phone calls, emails, and visitor inquiries professionally.
- Maintain organized filing systems, both electronic and paper.
- Schedule appointments, meetings, and coordinate calendars.
- Prepare, edit, and distribute correspondence, reports, and other documents.
- Perform data entry and maintain accurate records and databases.
- Order and maintain office supplies and equipment inventory.
- Assist with payroll preparation, invoicing, and basic bookkeeping tasks as required.
- Coordinate office maintenance and liaise with vendors and service providers.
- Support the Human Resources department with onboarding, employee documentation, and maintaining personnel files.
- Assist with recruitment by posting job advertisements, scheduling interviews, and communicating with candidates.
- Ensure confidential information is handled with discretion and professionalism.
- Maintain compliance with company policies and administrative procedures.
- Provide administrative support to management and other departments.
- Handle incoming and outgoing mail, courier services, and office deliveries.
- Identify opportunities to improve office processes and efficiency.
- Perform other administrative duties as assigned.
The Office Manager will receive support from senior staff members and will undergo comprehensive training until they are comfortable with their responsibilities. Please note that while the listed duties are primary, the Office Manager may be assigned other projects as needed.
