Facilities Maintenance Coordinator – Facilities Firm
Job Summary
Freshco's Facilities Maintenance Coordinator is responsible for servicing multi‑site retail clients across North America. The coordinator processes work order requests received from clients and follows them through to completion and billing. The coordinator negotiates rates, develops relationships with technicians, and monitors performance while ensuring compliance with client SLAs.
Responsibilities- Work Order & System Management: create, log, and manage maintenance requests in Quick Base; maintain records; update client platforms; organize and prioritize emails; prepare end‑of‑day reports; manage escalations.
- Scheduling & Dispatch: schedule and dispatch technicians; ensure work orders are completed within SLAs; verify compliance; ship parts or devices.
- Technician & Vendor Management: negotiate rates; build professional relationships; obtain and review quotes; collaborate with Vendor Relations to onboard technicians.
- Financial & Invoicing Oversight: prepare quotes in Quick Base; confirm correct tax rates; coordinate with Administrative Coordinator on awaiting bills; audit invoices; monitor margins.
- Collaboration & Communication: collaborate with internal teams; work directly with store managers/landlords on facility improvements.
Standard shifts are 40 hours per week, primarily 12:00pm–8:00pm EST (9:00am–5:00pm PST). Additional shifts include 9:00am–5:00pm EST (6:00am–2:00pm PST) or 7:00am–3:00pm EST (4:00am–12:00pm PST), Monday‑Sunday. Rotating after‑hours on‑call overnight shifts may be required. Work from the local office or remotely per company policy.
Qualifications- Minimum 4 years experience in multi‑site facilities maintenance, or 3+ years in customer service or administrative support.
- Exceptional computer skills (MS Office, Quick Base, Service Channel).
- Bi‑lingual language skills are an asset.
- Exceptional communication and interpersonal skills.
- Willingness to learn, work independently, and participate in philanthropy initiatives.

Pay: $50,000.00 – $65,000.00 per year.
