The Corporate Office Manager plays a key role in supporting the daily operations of our corporate headquarters, ensuring smooth administrative processes and maintaining an organized, efficient, and welcoming environment for staff, clients, and visitors. In the context of the travel industry, this role also includes liaising with travel consultants, vendors, and internal teams to support business travel functions and agency operations.
This position is hybrid with 2-3 days in Toronto, ON office and remote the rest of the week.
Passport to Success- Office Operations & Administration
- Oversee day-to-day office functions including supplies, mailroom operations, equipment maintenance, and space management.
- Coordinate vendor services (cleaning, office supplies, security, maintenance).
- Manage office budget and purchasing; track expenses and ensure cost-effective procurement.
- Executive & Staff Support
- Provide administrative support to senior leadership as needed (calendar coordination, meeting prep, travel arrangements).
- Assist in onboarding/offboarding procedures for corporate staff.
- Coordinate interdepartmental communications and facilitate team events or training sessions.
- Travel Industry‑Specific Support
- Support travel consultants and business travel operations with documentation, contracts, or vendor coordination.
- Maintain supplier contact lists and ensure corporate rate agreements and preferred vendor details are accessible.
- Assist with compliance tracking for travel program policies and industry‑specific certifications or memberships.
- Facility & Safety Oversight
- Ensure corporate office facilities meet health and safety requirements.
- Manage building access, badges, and visitor logs.
- Act as point person for emergency preparedness and safety procedures.
- Provide high‑level regulatory and administrative support to the Canadian executive leadership team, including the President, Vice President, and Legal Counsel.
- Familiarity with government, compliance, or regulatory processes.
- Assist with regulatory compliance in all provinces of Canada.
- Manage and coordinate executive calendars, meetings, travel arrangements, and competing priorities to ensure efficient use of time.
- Draft and prepare correspondence, agreements, legal documents, reports, and organizational charts as required.
- Support Legal Counsel while maintaining strict confidentiality of sensitive information and documentation.
- Organize and manage off‑site meetings, events, and executive functions.
- Oversee the annual renewal process for office licences and insurance policies.
- Assist with commercial leases for our offices across Canada.
- Prepare meeting agendas and materials, record and distribute minutes, and provide full administrative support for executive meetings.
- Supervise reception operations and provide guidance to reception staff across all Canadian offices.
- Support special projects and perform additional administrative duties as assigned.
- Fluency in both English and French (written and verbal) at a business and legal level.
- College diploma with three to five years experience as a Business Executive Assistant, or an equivalent combination of education and experience.
- Proficient in Microsoft Office applications, including Outlook, Word, PowerPoint, and Excel.
- Experience preparing professional documents and taking accurate meeting notes and action‑item follow‑up.
- Strong organizational, multitasking, and time‑management abilities with exceptional attention to detail.
- Demonstrated ability to manage confidential information with professionalism and discretion.
- Self‑motivated, dependable, and capable of working effectively in a fast‑paced environment.
- Legal knowledge an asset.
- Experience in the leisure and tourism industry a plus.
