Duties and Responsibilities- Answering incoming calls on a multi‑line system and direct them to the appropriate team member or department
- Welcome and assist the clients and visitors upon arrival
- Prepare the boardroom for meetings and ensure meeting spaces are ready for use
- Handle general administrative duties, including filing, scanning and maintaining records
- Prepare reports and correspondence
- Maintain office organization and assist with light office upkeep (e.g., watering plants, keeping the office tidy)
- Provide support to senior managers such as organizing emails and calendars as required
- Format documents and create materials using MS Word and Excel, as well as proofread and edit documents
- Assist with personal errands as needed (e.g., drop‑off/pick‑up dry cleaning, lunch, groceries)
- 2+ years of experience as an Administrative Assistant
- Valid driver's license and access to a reliable vehicle
- The ability to quickly learn and adapt to a new industry
- Calm and professional demeanor in a fast‑paced environment
- Strong interpersonal skills to effectively support clients and customers
- Proficiency in Microsoft Office Suite and other software (MS Word, Excel, PowerPoint, Google Docs, Canva, etc.)
- Comfortable with computers, smartphones, and tablets, and willing to learn new applications
- Strong research skills with the ability to present data clearly and concisely
- Ability to work independently with sound judgment and attention
- Excellent management, time‑management, problem‑solving, writing, editing, grammatical, organizational, and research skills

Scarborough, Ontario - Compensation Range: $18 – $23 per hour
